How TotalApp carries a case file from intake through hearings, document versions, and a conflict-of-interest check.

How this group of screens works

The Case & Matter Execution group brings together the four screens that run the day-to-day life of a case file: Matter Management, Hearing & Task Scheduler, Document Vault, and Conflict Check. A matter created here flows into the other three screens automatically — its documents, deadlines, and conflict history all stay linked to the same file.

1. Matter Management

Every case, litigation, or advisory file the firm handles is tracked here as a Matter, identified by a case number in the form DOS-YYYY-XXXX. Each matter carries a status (Active, Pending Appeal, Stayed, Settled, Closed), the parties involved, financial details, and a stage timeline. Clicking Update Stage advances the matter to the next stage defined for its case type and appends an entry — with a note and date — to its stage history, so the firm always has a dated record of how the file progressed.

The Documents tab on a matter automatically lists every file uploaded for it in Document Vault — there's no separate step to link them.

2. Hearing & Task Scheduler

A calendar and agenda view of everything time-sensitive on a case: hearings, statutory deadlines, discovery, mediation sessions, and lawyer tasks, each with a priority (Critical, High, Medium, Low). On open, the screen surfaces up to five critical alerts — entries marked as a legal deadline or critical priority that fall within the configured reminder window or have already passed — so nothing slips by unnoticed. Recording a hearing's outcome updates its status (for example to Postponed) and logs completion notes against the entry.

3. Document Vault

A version-controlled repository for petitions, court decisions, evidence, expert reports, powers of attorney, contracts, and correspondence, with drag-and-drop upload and an access level (Public, Team Only, Confidential) on every file. Adding a new version to an existing document keeps a changelog and increments its version number, so the full revision history stays available. Archiving a document removes it from the main list until the archive filter is switched on.

4. Conflict Check

Before taking on a new party, run them through this two-step wizard: enter the target's name, national/tax ID, and any known representatives, then review the risk classification and match list the screen returns. The check scans live against the firm's Client Directory and every party recorded across all matters — not just a static list — so a conflict tied to a party on an unrelated case file is caught too.

How risk is classified

An exact match on national/tax ID is scored 100 and flagged as a Direct Conflict. A fuzzy name match above the similarity threshold is flagged as a Potential Risk. No match at all clears the party. A potential risk can be resolved by adding a waiver note and marking it Approved with Waiver — the note is required and the responsible partner is recorded against the decision.

Frequently Asked Questions

Does Conflict Check use AI to find matches?
No — it's a deterministic name and ID matcher, not an AI model. The AI Assistant panels on these screens are separate, general-purpose chat helpers, not part of the conflict-scanning logic itself.
Can I change a matter's case number?
No — the case number is generated automatically in the DOS-YYYY-XXXX format when the matter is created and can't be edited afterward.
What happens when I mark a matter Closed?
If a closing date hasn't already been set, it's stamped with today's date automatically and the status badge switches to a neutral "Closed" color.
