Total Cost of Ownership & Asset Life

Vehicle depreciation/CPK, insurance claims recovery, lease mileage exposure, and the asset decommission pipeline — the add-on's financial-metrics group.

What this group does

Total Cost of Ownership & Asset Life is the financial back-half of the vehicle lifecycle — depreciation and cost-per-km, insurance claims/accident recovery, lease contract mileage exposure, and the retirement/write-off pipeline. It uses the same 2-stage AI architecture as the other two operational groups, but unlike them, every gauge in this group is a monetary formula rather than a status-count percentage.

Fleet cost per km, salvage value and replacement decisions

The shared 2-stage engine in this group

ScreenWhat Stage 1 searchesWhat Stage 2 diagnosesWhat you see in the result
Vehicle Depreciation & TCOSimilar assets across the ledgerTCO spike & replacement timingWhether a TCO spike was detected, a description of it, whether the economical tipping point was reached, a projected replacement date, a recommended action, and a summary
Insurance Claims & AccidentSimilar claims across the ledgerClaim settlement & loss recoveryWhether the fault assignment is disputed and why, whether there is a subrogation recovery opportunity and an estimate of it, whether deductible loss mitigation is possible, a recommended action, and a summary
Lease Contract FleetSimilar contracts across the ledgerExcess mileage & buyout optimizationWhether an excess mileage fee is projected and an estimate of it, an early termination penalty estimate, whether a buyout is recommended and why, a recommended action, and a summary
Asset DecommissionSimilar decommissions across the ledgerScrap vs. auction yieldWhether the asset is genuinely end-of-life ready and notes on that, a recommended disposal method, a projected yield comparison, whether there is an environmental-certificate risk, a recommended action, and a summary

Same pattern as the other two operational groups: no static industry-benchmark corpus exists in the app today — each Stage 1 search compares the current asset/claim/contract/decommission record against every other live record on the same screen; the Stage 2 result renders in the modal only and is never persisted.

1. Vehicle Depreciation & TCO

Purpose: Tracks acquisition cost, accumulated depreciation, current salvage value and operational lifetime expense per vehicle to compute a real cost-per-km (CPK).

Ledger columns

  • Vehicle id/plate/model, acquisition cost, accumulated depreciation, current salvage value
  • Operational lifetime expense, total distance (km)
  • Fuel / maintenance / insurance expenditure breakdown
  • Replacement readiness — optimal / monitor / replace immediately

Key action

Recalculate Asset Depreciation updates the accumulated depreciation, current salvage value, and replacement readiness.

ID format: TCO-YYYY-XXXX.

2. Insurance Claims & Accident

Purpose: Accident/insurance claim tracking — policy number, estimated repair cost, insurance payout, out-of-pocket deductible, fault ratio.

Ledger columns

  • Incident date, vehicle id/plate, driver name, policy number
  • Estimated repair cost, insurance payout, out-of-pocket deductible, fault ratio (%)
  • Claim status — draft / submitted / adjustor review / settled / rejected

Key action

Submit Claim to Insurer updates the policy number, repair cost, and fault ratio and moves the claim to Submitted status; only available on claims still in Draft status.

ID format: CLM-YYYY-XXXX.

3. Lease Contract Fleet

Purpose: Fleet leasing contracts — lessor company, monthly rate, contract mileage limit, current odometer, expiration date.

Ledger columns

  • Lessor company, vehicle id/plate, monthly rate
  • Contract mileage limit (km), current odometer (km), expiration date
  • Return status — active / near expiration / excess mileage risk / returned

Key action

Initiate Lease Handover / Renewal updates the return status; choosing renewal (Active) can also update the new expiration date.

ID format: LSE-YYYY-XXXX.

4. Asset Decommission

Purpose: End-of-life retirement/write-off process — retirement reason, disposal method, estimated/realized value, environmental certificate status.

Ledger columns

  • Vehicle id/plate/VIN, retirement reason — age/wear, severe damage, emissions non-compliant
  • Disposal method — public auction, scrap/recycled, part out
  • Estimated residual yield, final realized value
  • Environmental certificate status — pending / certified; status — pending approval / decommissioning active / written off

Key action

Finalize Asset Write-Off updates the realized value and environmental certificate status and moves the record to Written Off status; only available on records not already written off.

ID format: DEC-YYYY-XXXX.

Server routing (all 4 screens)

Same AI-engine routing as every other 2-stage screen in this add-on, logged and visible in Settings → Analytics.

Embedded AI Assistant

Every screen in this group has an embedded AI Assistant panel docked to the right edge. Tick one or more rows in the ledger and the panel lists them under Selected, with Analyze and Summarize shortcuts that send those records to the assistant by id and key fields. With no selection it works on the whole ledger. The ledgers are also paginated, with the page size adapting to your screen height.

ScreenExample suggestions
Vehicle Depreciation & TCOFlag vehicles with the highest cost per km; list vehicles where expense exceeds acquisition cost
Insurance Claims & AccidentFlag claims open for a long time; list drivers with repeated at-fault claims
Lease Contract FleetFlag contracts near the mileage limit; list contracts expiring soon
Asset DecommissionFlag disposals below estimated residual yield; list decommissions with pending certificates
  • Save as Report stores an assistant answer in the reports list so it can be reopened later.
  • Add Knowledge attaches your own reference text so the assistant answers with it as additional context.
  • The assistant follows the engine you selected in Settings → Agentic. With Ollama, Local LLM or Web LLM it runs on your machine or in your browser and never reaches the server. Panel width, font size, accent color and whether it opens automatically are controlled in Settings → AI Assistant.

Frequently Asked Questions

Can I submit an insurance claim that’s already submitted?
The screen only offers Submit Claim to Insurer on claims still in Draft status — once submitted, the claim moves through Adjustor Review, Settled, or Rejected outside this action.
Can Finalize Asset Write-Off be undone?
No — it moves the record to Written Off status and the screen only allows triggering it on records that aren’t already in that state; there is no built-in reversal action.
Does Recalculate Asset Depreciation use a standard depreciation schedule (straight-line, declining balance)?
The action itself accepts the new depreciation/salvage values as payload from the caller — the specific depreciation methodology is a business decision made when calling the action, not a hardcoded formula inside it.
Why does this group’s gauges look different from the other 3 groups’ gauges?
Because this group tracks money, not operational status — cost-per-km, recovery ratios, mileage-consumption percentages and a retirement pipeline are all derived financial metrics rather than simple “% of records matching a status” counts.
