How this group of screens works

This group covers the full arc of a student's time at the institution across four screens: Admissions & Applications, Student Enrollment, Attendance & Absence Tracking, and Graduation & Alumni Tracking.

The first two screens are the earlier, more established pair — they use a classic form-and-table layout with a chat-style AI Assistant panel for general questions. The last two are the newer pair, built with the same two-stage AI Diagnostic pattern used elsewhere in Education: a background search finds related records, then an AI layer reviews them and returns a risk verdict in a dedicated diagnostic modal rather than a chat panel.

1. Admissions & Applications

Every application moves through a status pipeline — Submitted, Document Review, Under Faculty Review, Interview Scheduled, Accepted or Rejected, and finally Enrolled. Each row expands to show contact details, application and update dates, reviewer notes, document badges (verified or pending), and quick actions to move the application forward. Applications can be filtered by status, department, degree level, and term, and bulk status updates let you move several applications forward at once.

An AI Assistant panel is available for general questions about the current application list — it isn't part of the diagnostic pattern used on the newer screens in this group.

2. Student Enrollment

Once accepted, a student's course enrollment for a term is tracked here — the courses they're taking, credits, section, instructor, and a per-course status (Approved, Pending, or Dropped). Selecting a student automatically fills in their department and advisor from their profile. The total credit count updates live as courses are added or removed on the Courses tab. Bulk Advisor Approval moves several enrollment records to Enrolled at once.

3. Attendance & Absence Tracking

Tracks attendance per student, per course section — classes attended against classes held, an excuse status (No Excuse, Medical Report Pending, or Excused & Approved), and a risk rating (Safe, Warning Level, or Critical Disqualification Risk). The institutional attendance gauge at the top is an average of every record's own attendance rate, not a simple pass/fail count.

Absence Risk & Recovery Plan diagnostic

Add attendance log notes for a student, and the diagnostic flags drop-out risk, questions the validity of an excuse if the pattern looks inconsistent, and calls out chronic absence patterns worth following up on.

4. Graduation & Alumni Tracking

Tracks a candidate's readiness to graduate — credits completed against credits required, internship status, and a clearance status (Cleared for Graduation, Hold — Missing Credits, or Hold — Financial/Library). The clearance-rate gauge is the share of candidates currently cleared, out of everyone tracked.

Graduation Eligibility & Hold Resolution diagnostic

Add transcript or clearance notes, and the diagnostic checks degree eligibility, flags any hold that's blocking graduation, and can produce a career-outcome summary for the candidate.

Approving a degree clearance moves the candidate to Cleared for Graduation.

Frequently Asked Questions

Why do Admissions and Enrollment look different from Attendance and Graduation?

They were built at different times with different patterns. Admissions and Enrollment use a classic table-and-modal layout with a chat-style AI Assistant. Attendance and Graduation use the newer two-stage diagnostic pattern, with results shown in a dedicated modal instead of a chat panel.

Does "Send Acceptance" on an application actually email the candidate?

No — it only updates the application's status to Accepted inside TotalApp. It doesn't send an email or trigger any outside notification.

Can I edit a student's GPA from Student Enrollment?

No — GPA isn't editable from this screen; it's carried over from wherever it was last set. There's currently no field here to change it directly.
