App Modes

Switch between specialised contexts to keep your sidebar focused on the tools your team needs.

What Are App Modes?

App Modes are the top-level context switch in TotalApp. Each mode filters which screens appear in the sidebar, so instead of a single long list of 80+ modules, you see only the 8–15 screens relevant to your current work.

The Core Principle

Data is never affected by switching modes. Kanban tasks, HR records, finance ledgers — all of it persists regardless of which mode is active. Modes only change what appears in the sidebar navigation, not what is stored on the server.

How It Works

  • Each mode has a default screen set — a curated list of screens that are pinned to that mode out of the box.
  • You can add or remove screens from any mode via the Manage Screens modal (the "+" button in the sidebar).
  • The mode chip in the header shows the current mode name with its signature colour. Click it to cycle to the next mode.
  • The mode persists across browser refreshes — TotalApp remembers the last mode you used.

TotalApp ships with over 20 specialised modes. Each is colour-coded for quick recognition in the header chip.

Switching Modes

There are two ways to change the active App Mode:

1. Header Mode Chip

Click the coloured chip in the top header bar. Each click advances to the next mode in the cycle order. The chip label and colour update instantly, and the sidebar refilters to show that mode's screens.

2. Settings → My Apps

Open Settings (gear icon in header) → My Apps tab. You will see a card for every available mode. Click a mode card to switch to it, or use the toggles to configure which screens are pinned to each mode independently.

Team Tip

Different team members can each lock in a different mode. An HR manager stays in HR mode all day; a developer stays in Developer mode. No configuration conflicts — modes are per-user preferences.

Mode Defaults

Every mode ships with a sensible default screen set so you are productive immediately after selecting a new mode, without needing to configure anything.

Default Screens by Mode (examples)

  • PM: Kanban Board, Timeline, My Tasks, My Notes, My Projects, My Workflows, My Presentations
  • HR: Employees, Recruitment, Leave Management, Expense Management, Overtime, Performance KPI, HR Reports
  • Finance: Financial Accounts, Payroll, Accounts Receivable, Bank Reconciliation, Budget & Forecasting, Expenses & Budget, Profit & Loss
  • Developer: Workflow Editor, Dev Hub Terminal, Security Hub, Graph View, Terminal Editor, Database Manager, API Playground

Customising Defaults

Use the Manage Screens modal to add extra screens to a mode or remove defaults you don't need. These customisations are stored per-user and persist between sessions. To restore the original default set, use Settings → My Apps → Reset to Defaults for that mode.

Each Screen Belongs to One Default

Each screen appears in only one mode's default list. This avoids the same screen cluttering multiple sidebars simultaneously. You can manually pin any screen to additional modes via Manage Screens — this is intentional and supported.

Frequently Asked Questions

What happens to my data when I switch from HR mode to Finance mode?
Nothing. All your HR data — employee records, leave requests, expenses — stays exactly as it was. Modes are purely a navigation filter. The data is always present on the server; only the visible sidebar changes.
Can I see HR screens while in Finance mode?
Yes — open the Manage Screens modal and toggle on any HR screen. It will appear in Finance mode's sidebar. Alternatively, click any HR card on the Landing Page to navigate there directly; TotalApp will switch mode automatically.
Can I create a custom mode?
Currently TotalApp does not support user-created mode names. However you can achieve the same result by picking the closest built-in mode and using Manage Screens to add or remove any screens you need. A future update may add custom mode names.
Does switching modes affect other users on the same account?
No. App Mode selection is stored locally per user. Each person on your team can have a different active mode simultaneously without affecting anyone else's view or data.
