Secure file transfer: OTP sharing, DLP checks and scans

Challenges it addresses

ChallengeWhy it matters
Regulatory complianceStringent regulations such as PCI DSS mandate secure handling of sensitive data, from customer information to financial transactions.
Data securityWith rising cyber threats, data must be secured both inside the organization and externally.
Efficient collaborationDepartments and external partners need to work together without compromising data security.
Data overloadVast amounts of data must be managed and accessed accurately, with unauthorized access reduced.

Regulatory compliance & data security

  • PCI DSS-aligned handling — sensitive financial data is protected at every step.
  • Advanced encryption — internal and external file sharing use encryption that safeguards data at rest and in transit.
  • Auditing & reporting — full auditing and reporting give real-time visibility and control over file access and sharing activity, supporting financial-regulation compliance.

Efficient content management

  • Centralized content access — unified access to files across repositories such as MS SharePoint, Google Drive, Azure Blob Storage, traditional file servers and repositories inside banking applications, eliminating data silos.
  • Automated workflows — fewer manual interventions, higher productivity, lower operating cost.
  • Version control — document integrity and file tracking across all departments reduce the risk of errors.

Secure collaboration

  • Role-based access control — fine-tuned permissions ensure only authorized personnel can open specific files, preventing breaches.
  • Internal & external sharing — secure sharing with customizable access rights and expiration dates.
  • All channels secured and audited — the web is not the only way files move; every protocol and channel is secured and audited completely.

Data integrity & risk management

  • Continuous integrity checks — automated processes verify data accuracy and detect unauthorized changes.
  • Risk mitigation — continuous monitoring, auditing and advanced permission checks reduce exposure to insider threats and data leaks.

Native experience inside your applications

Secure file features work as an integrated component of your core banking and finance applications. Users manage, share and secure files directly from the interface they already know, and every capability — secure sharing, advanced permission controls, auditing and encryption — is available in place, without switching tools.

Secure file transfer from an internal application

Collecting documents from a customer follows a controlled, six-step flow:

  1. An employee creates a transfer link in the internal application and fills in the recipient's details, then clicks Send.
  2. A folder is created through the API where the files will be uploaded.
  3. A link to the folder is generated and sent to the recipient's email with OTP protection and an expiration date.
  4. The recipient opens the link, verifies with the one-time password sent to their email, and uploads the files.
  5. Uploaded files pass through a six-layer security control: data governance, DLP, sandbox, CDR (content disarm and reconstruction), antivirus and firewall.
  6. Only files determined to be safe are transferred to the corporate application or platform.

Business value

  • Enhanced security — sensitive financial data stays protected, helping prevent breaches and meet regulatory standards.
  • Operational efficiency — automated workflows and centralized access reduce manual tasks and speed up work across departments.
  • Cost savings — less manual file handling and fewer security incidents lower operating costs.
  • Scalable — file and content management grows with your institution.
  • Audit ready — full audit trails, secure sharing and detailed reporting keep you compliant with regulations such as PCI DSS.
