Real Estate — Operational Setup & Master Data

The four master-data screens any Real Estate role-holder maintains: Property & Units Catalog, Client & Investor Directory, Agreements & Listing Templates, and Services & Valuation Catalog.

Operational vs Governance

The four screens below are Operational Setup — open to any Real Estate role-holder. Roles and Staff (governance) are admin-only, under Administration & Access.

Master Data Screens

ScreenURLWhat it holds
Property & Units Catalog/realestate/property-catalogProperty/unit type entries — Residential, Commercial, Land, Other — each with a unit type, description and active flag
Client & Investor Directory/realestate/clientsOwner, Tenant, Buyer and Investor records with phone, email and an assigned agent
Agreements & Listing Templates/realestate/agreementsAuthorization, Deposit, Lease and Listing template bodies
Services & Valuation Catalog/realestate/servicesPriced services grouped into the same 4 categories as the sidebar sub-groups: Financial & Insurance, Legal & Appraisal, Property Marketing, Property Management

1. Property & Units Catalog

Defines the property/unit type entries used across the brokerage’s portfolio. Every other Real Estate screen — mortgages, insurance, valuations, marketing, maintenance — references a property from this catalog via a Sub-Resource-Lookup SearchableCombobox.

Fields

  • Name — free text.
  • Category — Residential, Commercial, Land, or Other.
  • Unit Type — free text (e.g. "2+1 apartment", "retail unit").
  • Description and Active flag.

Legal Hold badge

A property carries a read-only Legal Hold badge whenever an active litigation matter references it from the Legal Advisory & Contracts screen — it is set and cleared automatically, never edited directly here.

2. Client & Investor Directory

Property owners, tenants, buyers and investors. The Assigned Agent field is a Sub-Resource-Lookup SearchableCombobox sourced live from REALESTATE domain staff (via employeeService.hasDomainRole(e, 'REALESTATE')) — never a hardcoded agent list, so the picker always reflects whoever currently holds a Real Estate role.

Fields

  • Name, Type (Owner / Tenant / Buyer / Investor), Phone, Email.
  • Assigned Agent — searchable, sourced from live staff.
  • Notes.

The Client and Investor directory is reused across the add-on: Mortgage Advisory and Property Valuation reference it for the applicant, Rent Guarantee filters it to Owner/Tenant types for the two contract parties, and Utility & Deposit Management references it for the tenant.

3. Agreements & Listing Templates

Standard authorization, deposit, lease and listing/portfolio template bodies.

TypePurpose
Authorization AgreementBrokerage authorization to represent an owner/investor
Deposit AgreementDeposit/reservation terms
Lease AgreementTenancy terms
Listing TemplatePortfolio/listing publication template

Auto-drafted entries

This screen isn’t only hand-authored: Mortgage Advisory writes a real Authorization Agreement draft here the moment a mortgage application’s status flips to Approved. See Screen Workflows for the full trigger.

4. Services & Valuation Catalog

Priced services offered by the brokerage, grouped into the same four categories that give the add-on its Financial & Insurance / Legal & Appraisal / Property Marketing / Property Management sub-groups.

Fields

  • Name, Service Group (one of the 4 categories), Description.
  • Price — a number, or shown as "On Request" when left at 0.

AI Assistant

All four screens ship with an embedded AI Assistant panel scoped to that screen's own records — Property & Units Catalog, Client & Investor Directory, Agreements & Listing Templates, and Services & Valuation Catalog each get their own panel, not a shared one.

  • Portfolio/catalog summaries — e.g. which properties are missing a market value or media, which clients have no assigned agent, which draft agreements still need review, which services have no price set.
  • Data cleanup prompts — flags missing unit types, thin descriptions, duplicate-looking names, or empty template bodies.
  • Save as Report — any assistant reply can be saved as a report for later reference.
  • Add Knowledge — attach extra context documents the assistant should consider when answering.

The panel operates on the whole visible ledger rather than a row selection — there is no "select rows first" step on these four screens.

Frequently Asked Questions

Do I need admin rights for these four screens?
No — operational master data is open to any Real Estate role-holder. Only Roles and Staff need admin (isModuleAdmin).
What if the real-estate package isn’t active?
ModuleGuard shows the Level-1 paywall on every Real Estate screen until the tenant activates the package.
Where does the Assigned Agent list on Client Directory come from?
It’s a live query against staff holding a Real Estate domain role — not a static list. A newly assigned agent appears the next time the combobox opens.
Can I edit master data later?
Yes; all four are editable master-data screens. Existing records that reference them (mortgages, insurance policies, valuations, etc.) keep their references.
