Secure IT-OT File Exchange

Security-first content management for unstructured data across IT and OT, with approval-gated transfers into the OT network.

What this group does

Energy, oil, gas and utility operators handle vast amounts of sensitive data — intellectual property, operational details, personal information and regulatory documents. As IT and OT converge, securing the unstructured files that move between them becomes central to both cybersecurity and compliance. Secure IT-OT File Exchange lets the Energy add-on manage that content in one place, with a security-first approach.

Secure IT-to-OT file exchange with threat checks and approval

IT and OT: why file exchange is different

Both IT and OT use data, hardware and software, but for different purposes. OT systems prioritize real-time processing because operations are time-sensitive, need high stability and have longer lifecycles; IT focuses on data processing for business needs and adapts more frequently. Moving files between the two therefore needs controlled, auditable and secure transfer paths.

Security-first content management

  • Encryption protocols — secure transmission and storage of files, protecting data in transit and at rest.
  • Access controls & authentication — administrators manage user access rights precisely and apply multi-factor authentication, so only authenticated users interact with critical systems.
  • Security integrations — anti-malware, DLP (data loss prevention), sandbox and zero-day technologies provide layered threat detection and prevention.

File access & permission control

  • Centralized access management — consistent permissions across the repository significantly reduce the risk of unauthorized access.
  • Role-based permission structures — defined roles and access levels simplify administration and strengthen security.
  • Audit trails for access history — detailed access history ensures transparency and accountability, supporting compliance with standards such as GDPR and NERC CIP.

IT-OT integration in practice

AreaWhat it delivers
IT infrastructure managementA central hub for digital content that supports compliance and audits, including safe movement between environments.
Operational process optimizationEfficient access to schematics, blueprints and documentation for physical operations and field crews.
Cross-department collaborationBridges digital system management and physical operations, improving strategic decisions and resource allocation.

Reference workflow: securing OT access

  1. An external user transmits data.
  2. The data undergoes security checks (antivirus and sandboxing).
  3. Once cleared, the data is copied to the relevant file area.
  4. The approver is notified upon successful copying.
  5. The approver reviews and approves the operation.
  6. Approved data is transferred to the SFTP server within the OT network.
  7. The OT system receives the data, or it is sent onward via the SFTP server.

Business value

  • Enhanced operational efficiency — centralized file management and better collaboration reduce redundancies and manual interventions.
  • Improved security posture — advanced security features protect critical data and reduce breach and compliance risk.
  • Streamlined integration — adapts to existing systems so IT and OT environments connect without significant downtime.
  • Holistic data visibility — unified management gives visibility into both digital and physical processes for better decisions and asset management.
  • Controlled workflows — automating previously manual transfers with stringent checks improves operational readiness without weakening security or compliance.
