How this group of screens works

This group brings together four screens that each keep a different kind of academic record healthy: Internal Wiki for policy documents, Learning Path for curriculum progress, Certificate Tracker for issued credentials, and Onboarding Hub for new staff and student onboarding.

All four share the same two-stage AI Diagnostic pattern: a background semantic search first finds the records most related to what you're describing, then an AI layer reviews those records together with your notes and returns a verdict — a conflict, a bottleneck, an eligibility check, or a drop-off risk, depending on the screen. The diagnostic result is shown in a modal and is never saved as part of the record; closing the modal clears it.

1. Internal Wiki

A knowledge base for institutional policy — academic governance rules, grading standards, syllabus templates, and faculty handbooks — each article carrying a compliance status (Verified & Active, Outdated Draft, or Policy Conflict) and an AI-assessed clarity score. A health gauge at the top shows the percentage of articles currently verified and active.

Policy Conflict & Refactoring diagnostic

Paste a draft or existing article text into the diagnostic, and the screen checks it against the wiki's own articles for conflicting guidance or outdated references, then suggests a revision.

Publishing a policy update marks the article Verified & Active and stamps today's date as its last verified date.

2. Learning Path

Tracks a cohort's progress through a learning path — steps enrolled, modules completed, and any prerequisite course blocking further progress — alongside a target completion date and an AI-assessed delay risk. The velocity gauge at the top is an average of each record's own completion percentage across all cohorts, not a simple pass/fail count.

Prerequisite Bottleneck & Remediation diagnostic

Describe the progression notes or known blockers for a cohort, and the diagnostic flags whether it's below the expected completion velocity and suggests a remediation plan, including which prerequisite courses are creating the bottleneck.

3. Certificate Tracker

Tracks every certificate or credential the institution has issued — the recipient, issuing department, validity (lifetime or requiring recertification), and a verification status (Verified & Valid, Pending Transcript Audit, or Expired). An integrity gauge shows the percentage of certificates currently verified and valid.

Transcript Verification & Eligibility diagnostic

Enter transcript notes or a credit summary, and the diagnostic checks eligibility for the credential, flags any credit shortfall, and reports whether authenticity looks sound.

Issuing a verified credential generates a verification hash for the certificate and marks it Verified & Valid.

4. Onboarding Hub

Tracks onboarding progress for new undergraduate students, adjunct faculty, and department admins against an assigned checklist track — tasks completed out of the total, a status (In Progress, Stalled — Missing Documents, or Completed), and a target completion date. A completion-rate gauge shows the share of onboarding records currently marked complete.

Drop-Off & Nudge diagnostic

Add progress notes or known blockers for a participant, and the diagnostic flags whether they're at risk of stalling and suggests where to intervene.

Frequently Asked Questions

Does the AI Diagnostic result get saved to the record?

No — the diagnostic result only appears in the modal for that session. Closing the modal clears it; nothing about the diagnostic itself is written back to the record.

Does publishing, issuing, or approving actually notify anyone?

No — actions like Publish Policy Update, Issue Verified Credential, and Assign Remediation Plan update the record's own status in TotalApp only. They don't send an email, post to a portal, or trigger any outside system.

Is a verification hash on a certificate a real digital signature?

No — it's a placeholder identifier shown for record-keeping until a real signing infrastructure is integrated. It isn't cryptographically verifiable outside TotalApp.
