AI Assistant Panel
The AI assistant that lives inside your screens — it understands the data in front of you, answers questions, generates reports and works on the rows you select.
Overview
TotalApp's AI assistant panels are embedded directly into their host screens — they understand the context of the data on screen and can answer questions, generate reports and perform analysis without you needing to copy-paste data into a separate tool.
Every assistant panel in the app is built on one shared panel, so they all look and behave the same: the same header, chat bubbles, suggestion chips, history, Save as Report and Add Knowledge controls. The panel’s accent colour follows the module you are working in.
Where to configure it
All assistant behaviour — model, width, auto-open, font size, memory and more — is configured once in Settings → AI Assistant and applies to every panel. See AI Assistant Settings. For the two families of assistant (table and dashboard), see AI Assistants Overview.
Opening and using the panel
- Open the panel with the vertical AI Assistant tab anchored to the right edge of the screen — or turn on auto-open in the settings and it opens by itself when you visit a screen that has an assistant.
- The panel is a fixed overlay on the right edge. While it is open, the screen’s content area reserves right-side space equal to the panel width, so table columns and action buttons are never hidden behind it.
- On an empty chat the panel shows example question chips. Click a chip and it is sent as your message immediately.
- Type your own question. The assistant answers using the data of the screen you are on.
- Click New Chat (pencil-square icon in the panel header) to start a fresh session without losing the previous one — the earlier conversation is saved to the panel’s History list (clock icon), where you can reopen it later.
Working with selected rows
On screens with a table, tick the checkbox at the start of one or more rows (or the header checkbox to select the visible rows). The assistant panel then shows a Selected (n) list with the names of the ticked records, plus two buttons: Analyze selected (n) and Summarize selected (n). Clicking either sends those records to the assistant together with a ready-made prompt, so you do not have to describe them yourself. Typing your own question while rows are selected also uses them as context.
- Selection survives filtering and paging — rows you ticked stay selected until you untick them.
- If no row is ticked, the assistant works with the whole list (or, on some screens, the record whose detail is open).
- The checkbox shape, colour, size and tick icon are set in Settings → Appearance (see Appearance Settings) and apply to every table screen.
Not every screen lists the selection yet
The selection list is shown in the panel on the Energy, Government, Insurance, Real Estate, Patent & R&D, Construction and Healthcare screens, on the Fleet Manager, and on My Tasks, My Projects, My Workflows, My Reports, My Spreadsheets, My Courses, My Tests, Course Builder and My Prompts / My Documents. On other screens the checkbox still selects rows for bulk actions, but the assistant panel does not display the selection list.
Supported screens
| Screen | Data context | Can save reports? |
|---|---|---|
| Kanban Board | All tasks in all columns across all projects | No |
| My Tasks | User's own tasks (all or selected project) | No |
| My Notes | User's notes (all or the active note) | No |
| My Projects | All projects with member counts and status | No |
| My Workflows | Saved workflow graphs with node and edge details | No |
| My Presentations | Saved presentations with slide content | No |
| HR Reports | Employee, leave, expense and overtime data | Yes |
| Ecommerce Reports | Live Shopify products, orders and customers | Yes |
| Course Builder | Current course snapshot (lessons, sections, tests) | No |
| Shopify Integration | Live Shopify Admin data | No |
The table lists the original screens. The assistant is now available on most module screens as well — Finance, Purchase, Sales, Manufacturing, Warehouse, Quality, Maintenance, Field Service, Fleet, HR, CRM, Marketing, Energy, Government, Insurance, Real Estate, Patent & R&D, Construction, Healthcare, Customs, Education and more. They all use the same panel and the same settings.
Customising the panel
| What you can change | Where |
|---|---|
| The model the assistants use | Settings → AI Assistant → Model |
| Panel width, auto-open, typing indicator, suggestion chips | Settings → AI Assistant |
| Chat font size and accent colour | Settings → AI Assistant → Chat Appearance |
| How many past messages are sent as context | Settings → AI Assistant → Context & Memory |
Every option is described in AI Assistant Settings.
