My Workspace

Your personal hub — every screen that belongs to you, in one place.

Overview

My Workspace is the personal productivity mode in TotalApp. Unlike the team-facing modules (Project Management, HR, Finance), every screen here is scoped to you — your tasks, your notes, your documents, your reports. Switch to Workspace mode from the mode switcher in the top header to access all screens listed below from the sidebar.

Workspace Mode

Workspace mode is one of TotalApp's built-in App Modes. Enable it via Settings → App Modes → Workspace or click the mode switcher in the header. All My* screens are only visible in the sidebar when Workspace mode (or a mode that includes these views) is active.

My Apps

AI-generated reports saved from the Ecommerce, HR, and other report assistants.

Quick Start

  1. Click the mode switcher in the top header and select Workspace.
  2. The sidebar updates to show all My* screens under the My Workspace group.
  3. Navigate to any screen — your data is pre-loaded from the server on first visit.
  4. Use the AI Assistant panel (where available) by clicking the "AI Assistant" tab on the right edge of the screen.

Tip — Pin Workspace to your sidebar

Go to Settings → App Modes and toggle Workspace on. The mode then appears permanently in the mode switcher so you can switch to it with one click from anywhere in the app.

Data Ownership & Scoping

Every screen in My Workspace is scoped to the logged-in user's employeeId. Data created in one user's workspace is never visible to another user unless explicitly shared. This scoping applies to:

  • Tasks assigned to you (My Tasks)
  • Notes you have created (My Notes)
  • Projects you own or are a member of (My Projects)
  • Documents, presentations, diagrams, reports you have saved

My Tasks shows tasks assigned to you from any project — including projects owned by other users. Visibility is by assignment, not by ownership.

FAQ

Why are My Tasks / My Notes not under Project Management any more?
These screens are personal productivity tools scoped to the current user. Project Management covers team-facing tools (Kanban Board, Timeline) that operate on shared project data. Moving the My* screens to their own Workspace category makes the sidebar hierarchy clearer and mirrors the app-mode structure.
Can I add a custom screen to My Workspace?
Not directly — the Workspace mode views are defined in the app configuration. However, you can use the Manage Screens modal (the + icon in the sidebar footer) to show or hide any registered view within the Workspace mode sidebar.
Are Workspace screens available in other modes?
Yes. Any screen can be shown in any mode via the Manage Screens modal. My Workspace is simply the default mode where all My* screens are pre-enabled. You can add individual screens to other modes (e.g. add My Tasks to Project Management mode) without leaving Workspace mode.
