What's Included
TotalApp's Warehouse module covers the complete physical goods workflow — from receiving stock and tracking bin locations, to fulfilling orders through pick & pack, to inspecting quality on inbound and outbound goods, to processing returns. Four screens handle these distinct phases of warehouse operations.
All four screens support the Dual Style System — they look and feel like a dark glassmorphism workstation by default, but can be switched to a light corporate ("enterprise") aesthetic in Settings. This means warehouse staff who prefer a traditional ERP look can use the same data as those who prefer the modern dark interface.
Connected to Purchase
Goods received against a Purchase Order in the Purchase module flow automatically into Warehouse Inventory as a stock receipt. There is no manual double-entry. The purchase-to-stock pipeline is: raise PO in Purchase → approve → receive goods → Warehouse Inventory updates automatically.

Inventory Management
Real-time stock levels across all warehouse locations. SKU management, reorder points, low-stock alerts, and full movement history. Multi-bin location codes.
Pick & Pack
Order fulfillment pipeline: pick list generation → item scanning → packing → shipping. Status tracking visible to customer-facing systems. Batch picking for efficiency.
Quality Control
Inspection checklists for inbound and outbound goods. Pass, fail, or rework dispositions. Defect logging with photos and root-cause analysis.
RMA Returns
Return merchandise authorisation workflow. Customer returns and supplier returns. Disposition: restock, scrap, or send to QC for inspection.
Dual Style System
All Warehouse screens support two visual styles. Toggle between them in Settings → Appearance → Screen Style:
- Workstation (default) — dark glass aesthetic matching the rest of TotalApp. Ghost/glow action buttons. Best for power users working long shifts who prefer low eye strain.
- Enterprise — light corporate style with white backgrounds, solid borders, and filled action buttons (similar to Odoo or SAP). Best for clients who are migrating from a traditional ERP and want a familiar look.
The data and functionality are identical in both styles. Switching styles is instant and affects all Warehouse screens simultaneously — there is no per-screen setting.
Warehouse Workflow
The four Warehouse screens follow the natural lifecycle of physical goods in a warehouse operation:
Not every organisation runs every step. Quality Control is optional and can be bypassed for low-risk shipments. RMA Returns is only needed when customer returns are expected. Configure which steps are active in Settings → App Modes → Warehouse.
Getting Started
- Set up your product catalog — add products in the Purchase → Products & Variants screen. Each product needs a SKU, category, and unit of measure before it can be tracked in inventory.
- Define warehouse locations — open Inventory Management and add your bin location codes (e.g. A1, B3, ZONE-C-SHELF-2). Use a consistent format that matches your physical labels.
- Receive initial stock — create a stock receipt for your opening inventory quantities. Assign each item to its bin location.
- Process first order — open Pick & Pack, find the first order, generate the pick list, check items as picked, pack, and ship.
- Set up QC checklists — if quality inspection is required, open Quality Control and create product-category checklists. Assign the checklist to the first inbound shipment.
