Product Management Overview

What is Product Management in TotalApp?

TotalApp's Product Management module brings Shopify-style product tagging and categorization to your entire workspace. Tags you create here flow through every module — from ecommerce storefronts and marketing campaigns to purchase orders and warehouse inventory — giving you a single, consistent vocabulary for organizing products across your business.

One Tag, Everywhere

A tag created in Product Management is immediately available in your Ecommerce catalog, Marketing automation filters, Purchase module supplier lists, Warehouse inventory screens, and CRM product-line segmentation. You never re-enter the same classification twice.

  1. Create your tags — Go to the Tagging System, define tag names and assign colors. Tags are global and shared across all modules.
  2. Set up categories — Group related tags into Product Categories (e.g. "Clothing → T-Shirts → Oversized"). Categories power your storefront navigation and faceted search.
  3. Apply tags to products — Open any product in Ecommerce, Purchase, or Warehouse and attach one or more tags. Multi-tag support lets a single product appear in multiple category trees.
  4. Search and filter — Use tag-based search across any module to instantly find products, filter orders by product type, or segment marketing lists by product category.

System Tags vs. Custom Tags

Every product carries two system tags that TotalApp manages automatically: Can Sell and Can Purchase. These control whether a product is visible in the Sales Quotations / POS picker (Can Sell) or the Purchase Order line-item picker (Can Purchase). Unlike the tags you create yourself, system tags cannot be renamed or deleted — only toggled on or off from the product's row in Purchase → Products & Variants.

System Tags Set Themselves on Quick-Create

When a product is quick-created from a module other than Purchasing — e.g. from Warehouse → Stock & Inventory or inline from a Sales Quotation line item — TotalApp sets the Can Sell / Can Purchase system tags automatically based on where the product was created, so it doesn't immediately clutter the other module's picker. A warehouse-only supply starts not sellable; a sales-only line item starts not purchasable. Flip the flag any time from Products & Variants once the product genuinely belongs in both.

Beyond the two system tags, you are free to define your own custom tags in the Tagging System (e.g. "Fragile", "Seasonal", "Best Seller", "Requires Cold Chain") and attach as many as you like to any product. Custom tags carry no built-in behaviour — they exist purely so you can filter, segment, and group products your own way across every module listed below.

FAQ

Can I use the same tag in both my storefront and my warehouse?
Yes. Tags are workspace-wide. A tag created here automatically appears as a filter option in Warehouse Inventory, a collection in your Ecommerce store, and a segment in Marketing — no duplication needed.
Is this the same as Shopify collections?
Functionally similar. Product Categories in TotalApp behave like Shopify automated collections: you define tag rules, and any product matching those tags is automatically included in the category. The key difference is that these categories work across every TotalApp module, not just the storefront.
How many tags can a product have?
There is no hard limit. A product can have unlimited tags, which means it can appear in multiple category trees simultaneously — for example both "Summer Collection" and "Sale Items" and "Footwear".
