App Modes Settings

Manage which screens appear in each App Mode and configure your default mode.

Overview

App Modes let you configure TotalApp as different "products" for different teams. An HR team sees HR, Finance, and PM screens. A developer team sees Developer Tools, PM, and Analytics. Each mode has a curated set of screens in the sidebar so teams only see what is relevant to their work.

App Mode settings live in Settings → My Apps.

Manage Screens per Mode

Each App Mode maintains an independent screen list. To customise what appears in a mode's sidebar:

  1. Open Settings → My Apps.
  2. Select the mode you want to customise from the mode tabs at the top of the panel.
  3. The current screen list is shown on the left. Click the "+" Add Screen button to open the full screen picker modal.
  4. In the picker, browse or search for screens. Click any screen to add it to the current mode's list.
  5. To remove a screen, click the "×" button on its row in the current mode list.
  6. Reorder screens by dragging their row handle up or down.

Changes Apply Immediately

Screen additions and removals take effect instantly. If you add Kanban Board to Finance mode while Finance mode is active, it appears in the sidebar right away — no save or reload needed.

Default Mode

The default mode is the one that is active when you first open TotalApp (or after clearing app state). To change it:

  1. Open Settings → My Apps.
  2. Click the Set as Default button on any mode card.
  3. The mode is marked with a "Default" badge.

You can still switch modes at any time from the mode switcher in the top header, regardless of the default setting.

SOON Views

Some screens are not yet fully implemented. These appear in the Manage Screens picker with a Soon label and greyed-out appearance. You cannot add them to a mode's active screen list — clicking them does nothing. When the screen ships, the Soon label is removed and it becomes selectable.

Planning Ahead

Soon views are shown in the picker rather than hidden so you can plan your mode configuration in advance. When a feature you're waiting for ships, it immediately becomes available in the picker without any action needed on your part.

Mode Isolation

Some screens are mode-exclusive — they are only available by default in one specific mode. For example, HR screens (Employees, Leave Management, Recruitment, etc.) are in HR mode by default. Finance screens are in Finance mode by default.

This prevents unrelated screens from cluttering modes that do not need them. However, you can always manually add any screen to any mode through the Manage Screens picker — mode exclusivity only applies to the default configuration, not to what you can manually configure.

Custom Mode Setup Example

Suppose your finance team also manages project tracking for budget approvals. Here is how you would add Kanban Board and My Tasks to Finance mode:

  1. Switch to Finance mode using the header mode switcher.
  2. Open Settings → My Apps.
  3. The Finance mode tab is already selected.
  4. Click "+" Add Screen.
  5. Search for "Kanban" and click it to add Kanban Board.
  6. Search for "My Tasks" and click it to add My Tasks.
  7. Close Settings. Kanban Board and My Tasks now appear in the Finance mode sidebar.

Frequently Asked Questions

If I remove a screen from a mode, is the data on that screen deleted?
No. Removing a screen from a mode's list only hides it from that mode's sidebar — it does not delete or archive any data. All records remain fully intact on the server and the screen reappears with all its data the moment you add it back to any mode's list through the Manage Screens picker.
Can the same screen appear in more than one mode at the same time?
Yes. While each screen has a default mode it ships in (its mode-exclusive home), you can manually add it to as many additional modes as you like via "+" Add Screen. For example, you could add My Tasks to both Project Management mode and Finance mode simultaneously — each mode keeps its own independent screen list, so the same screen can be reachable from multiple modes at once.
What happens if I set a new default mode while a different mode is currently active?
Nothing changes immediately in your current session — you stay on whichever mode you're actively viewing. The new default only takes effect the next time TotalApp loads fresh (a new browser session or after app state is cleared). You can still switch to any mode at any time using the mode switcher in the top header, independent of which one is marked as default.
Why can't I click on some screens in the Manage Screens picker?
Screens greyed out with a "Soon" badge are not yet fully implemented in TotalApp. They are intentionally shown (rather than hidden) so you can see what's coming and plan your mode configuration in advance, but they cannot be added to a mode's active list until development is complete. Once a Soon screen ships, its badge is removed automatically and it becomes selectable — no action is required on your part.
