What's Included
TotalApp's Sales module covers the entire revenue cycle — from tracking your top-level KPIs and managing your product catalog, through to building professional quotations, managing your deal pipeline, and analysing ecommerce performance with AI-powered Shopify analytics. Each screen is independent but they share contacts, products, and deal data so information entered in one place is immediately available in the others.
Sales Dashboard
Command centre for the sales team. Real-time KPI cards (revenue, orders, conversion rate), daily revenue charts, top products, rep performance table, and a deal funnel chart — all in one view.
Sales Catalog
Master list of every product and service your team sells. Items are linked to Quotations so reps can build accurate quotes by searching the catalog rather than typing prices from memory.
Quotations
Professional quote builder. Pull line items from the catalog, apply discounts and taxes, and generate a branded PDF. Track status from Draft through Accepted and convert accepted quotes to orders in two clicks.
Sales Pipeline
Visual deal funnel with stage-by-stage conversion rates, deal value at each stage, weighted revenue forecast, and rep performance breakdown. Sourced from CRM deal data.
Ecommerce Reports
Shopify-connected AI analytics. Ask plain-language questions about your store's products, orders, and customers. Save AI responses as reports and link them to PM projects.
Sales Workflow
The Sales module maps to a standard B2B sales cycle. Each step corresponds to one or more TotalApp screens:
- Lead (CRM) — Contact created in CRM, either manually or via Lead Capture form. Deal stage set to "Lead".
- Opportunity (Pipeline) — Deal is qualified and advances in the Sales Pipeline. Rep is assigned. Expected close date and deal value recorded.
- Quotation — Rep builds a formal quote in Quotations using catalog items. Quote is sent to the prospect. Status moves to "Sent".
- Sales Order — Prospect accepts. Rep clicks "Convert to Order" in Quotations. A sales order record is created. Purchase orders can be triggered automatically if stock replenishment is needed.
- Invoice (Finance AR) — Sales order triggers an invoice in Accounts Receivable. The Finance team manages payment terms and collection from there.
- Payment — Invoice marked as paid in Accounts Receivable. Revenue recorded in Financial Accounts.
Getting Started
- Check the Dashboard — Open Sales Dashboard to review your current period KPIs, identify which products are top sellers, and see which reps are on track for their quota.
- Build your Catalog — Add your products and services to Sales Catalog. Set correct prices, SKUs, tax rates, and categories. This is the foundation for accurate quotations.
- Create your first Quotation — Go to Quotations, click New Quote, select a CRM contact, add line items from the catalog, and click Send. The quote status moves to "Sent" automatically.
- Track deals in the Pipeline — Open Sales Pipeline to see all active opportunities at a glance. Use the filter controls to focus on deals closing this month.
- Connect Shopify — If you run an ecommerce store, connect it in Ecommerce Reports for AI-powered analytics on your online sales performance.
Tip — Workstation and Enterprise Modes
Several Sales screens (Dashboard, Quotations) support both the default Workstation style (dark terminal aesthetic) and an Enterprise style (light, Odoo-like). Switch between them in Settings → Appearance → Screen Style. The Enterprise style is recommended when sharing your screen with clients during live demos.
Cross-Module Data Flow
The Sales module is tightly integrated with other TotalApp modules. Understanding the data flow helps you avoid duplication and ensures your team always works from the same source of truth.
