Pipeline & Funnel Operations
The three working screens Sales Ops and Sales Representatives use every day to run the lead-to-revenue lifecycle, diagnose stalled deals, and analyze funnel leakage.
What this group does
RevOps Setup (Master Data) defines the pipeline stages, pricing catalog, and territories & quotas the organization runs on. Pipeline & Funnel Operations is where that configuration gets used day to day: tracking every prospect from first marketing touch to revenue recognition, watching how fast deals move through the pipeline, and analyzing where the funnel leaks revenue.
All three screens share the same pattern: a working ledger of records, an AI diagnostic that searches the ledger for similar cases before reasoning about the current one, and a quick action that pushes the finding back out to the team (an escalation, a playbook, or an export).
1. Lead-to-Revenue Flow
Purpose: Track every prospect's full lifecycle — from Marketing Qualified Lead (MQL) through Sales Qualified Lead (SQL), Opportunity, Contract Pending, to Revenue Realized — and catch marketing-to-sales handoff bottlenecks before they cost the deal.
Key features
- Handoff SLA efficiency gauge — a live percentage of records currently on-time on their handoff SLA, colour-coded green/amber/red.
- Lifecycle ledger — Lifecycle ID, prospect & company, lead source channel (Inbound Content / Outbound SDR / Event & Partner), lifecycle stage, handoff SLA status (On Time / SLA Warning / SLA Breached), deal value, and the assigned sales representative (picked from RevOps team members only).
- Escalate Handoff — a one-click action on any record that flags the assigned representative and confirms the escalation with an on-screen confirmation message.
- AI Handoff & Stagnation Diagnostic — enter a prospect, company, lifecycle stage and hours since last handoff; the assistant first searches the existing lifecycle ledger for similar cases (semantic search, with a keyword fallback if no local model is available), lets you pick which matches to include, then reasons over the selected cases to return a risk level, the likely bottleneck stage, a stagnation reason, and recommended follow-up actions.
2. Pipeline Velocity
Purpose: Measure how fast opportunities move through the pipeline stages (Discovery, Demo & Evaluation, Proposal, Negotiation) and flag deals that have gone quiet before they silently fall out of the forecast.
Key features
- Velocity benchmark gauge — a live percentage showing how the current book of opportunities compares against the organization's velocity benchmark.
- Opportunity ledger — Opportunity ID, account name, pipeline stage, days in current stage, deal-push count, weighted deal value, stagnation risk (Active Movement / Stalled Risk / Dark Deal Warning), and the assigned sales representative.
- Execute Unstick Playbook — a one-click action on any record that triggers a re-engagement playbook for the account and confirms it with an on-screen message.
- AI Deal Stagnation & Velocity Diagnostic — enter an account, its stage, days in stage and push count; the assistant searches the velocity ledger for similar deals (semantic search with a keyword fallback), lets you select which ones to include, then returns a risk level, the likely cause of stagnation, and recommended next moves to reopen the deal.
3. Conversion Tracking
Purpose: Analyze conversion rates at every stage of the funnel (MQL → SQL → Opportunity → Closed Won) by campaign or territory, and identify the primary reasons revenue leaks out of the funnel.
Key features
- Funnel efficiency gauges — overall funnel efficiency and full-funnel conversion percentage, computed live from every tracked cohort.
- Conversion cohort ledger — Cohort ID, campaign or territory source, total entered leads, MQL→SQL / SQL→Opportunity / Opportunity→Win conversion percentages, primary loss factor (Pricing Resistance / Feature Gap / Competitor Loss / Budget Freeze), and leakage severity (Normal Variation / High Leakage Alert).
- Export Funnel Leakage Analysis — generates a report reference for the selected cohort so the finding can be shared outside the screen.
- AI Conversion & Leakage Diagnostic — enter a campaign/territory source and its stage conversion rates; the assistant searches prior cohorts for similar leakage patterns (semantic search with a keyword fallback), lets you choose which to include, then returns a risk level and a root-cause analysis of where and why the funnel is leaking.
How the AI diagnostics work
Each screen's diagnostic runs in two stages so the AI's reasoning is always grounded in your organization's own data, never invented from scratch:

| 2 — Diagnose | The selected records are handed to the AI assistant along with the record you're investigating. It returns a risk level, a plain-language explanation of what's likely happening, and concrete next steps — scoped only to the records you selected. |
