Real Estate — Property Management & Maintenance

Periodic Maintenance & Repair, Deep Cleaning & Pest Control, and Utility & Deposit Management — the operational upkeep side of the managed portfolio.

Overview

The Property Management & Maintenance sub-group covers the ongoing physical upkeep of managed properties: engineering work orders (Periodic Maintenance & Repair), cleaning and pest-control jobs (Deep Cleaning & Pest Control), and tenancy utility handover/deposit tracking (Utility & Deposit Management). Periodic Maintenance is the one screen in this add-on that writes a real record into another core module, not just another Real Estate screen.

1. Periodic Maintenance & Repair

Purpose: Engineering work orders against catalog properties — HVAC servicing, plumbing repair, elevator inspection, electrical maintenance.

The SLA countdown meter is a plain inline calculation — target hours (from the table above) minus elapsed hours since openedAt — not a live SLA-policy feed. It stops being shown once status reaches Completed or Billed.

Billable party & status

Billable to Landlord, Tenant, or Agency. Status: Open → In Progress → Completed → Billed.

On billing: pushes a real Vendor Bill to Finance

When a work order’s status transitions into Billed, saving automatically pushes a real vendor bill into the Finance module’s Accounts Payable. This is the one Real Estate cross-screen trigger that reaches outside the add-on entirely — see Screen Workflows for the full trigger table.

2. Deep Cleaning & Pest Control

Purpose: Cleaning and pest-control service jobs against catalog properties.

Chemical certificate status

Verified or Pending — tracks whether the chemical-use certificate for a fumigation/pest job has been checked. A separate Inspection Passed boolean and Chemical Product Specs free-text field round out the compliance record.

Status pipeline

Scheduled → In Progress → Inspected & Passed → Billed.

3. Utility & Deposit Management

Purpose: Tracks utility subscription handover and security deposit settlement at tenancy check-in/check-out. Property and Tenant (from the Client Directory) are both Sub-Resource-Lookup comboboxes.

Meter readings & subscription transfer

Meter Reading Check-In and Meter Reading Check-Out are recorded per utility. Subscription Transfer Status tracks whether the utility account is Transferred to Tenant, Agency-Held, or Pending Deactivation.

Deposit settlement

Held Security Deposit and Deduction Amount fields, with status Active Tenancy → Handover Pending → Deposit Refunded / Deductions Applied. Deduction amounts are entered manually against the deposit — there is no automated damage-assessment or metering-integration calculation behind them.

Frequently Asked Questions

Where does the Vendor Bill from a billed work order show up?
In the Finance module’s Accounts Payable, as a real vendor bill record created through the Finance module itself — not a Real Estate-local copy.
Is the SLA countdown enforced by the system (e.g. does it auto-escalate)?
No — it’s a visual reference indicator recalculated on render from the priority’s target hours and the work order’s open time. There is no automatic escalation or notification behind it.
Does re-saving an already-billed work order create a second Vendor Bill?
No — the trigger only fires on the transition into Billed status, never on a no-op re-save of an already-billed record.
Do the Chemical Certificate and Inspection Passed fields on Deep Cleaning & Pest Control verify anything automatically?
No — both are manually set by whoever is recording the job. There is no document-upload verification behind the certificate status in this codebase.
