Safety Inspections
Schedule and run walk-through safety inspections against a 10-item checklist, with an automatically computed compliance score and an embedded AI Assistant.
Overview
Safety Inspections lets HSE officers schedule, run, and score walk-through inspections against a standard 10-item safety checklist covering housekeeping, fire safety, electrical, PPE, emergency exits, machinery guarding, ergonomics, chemical storage, signage, and first aid.
Each checklist item is marked Pass, Fail, or N/A. Once an inspection is completed, an overall compliance score (0–100%) is computed automatically from the pass/fail ratio.
Auto-Numbered
Every inspection gets an INS-#### number generated automatically on creation.
10-Item Checklist
Housekeeping, Fire Safety, Electrical, PPE, Emergency Exits, Machinery, Ergonomics, Chemical Storage, Signage, and First Aid — pre-loaded on every new inspection.
Computed Score
The overall score is calculated as passes ÷ (passes + fails), excluding N/A items, and locked in once the inspection is marked Completed.
Findings Per Item
Any checklist item marked Fail (or with existing notes) shows an inline text field to record the specific finding.
Multi-Select Table
Select one or more inspections with row checkboxes to scope the AI Assistant to exactly the records you care about.
AI Assistant
Ask the embedded assistant to flag overdue inspections, spot low-scoring locations, or surface recurring findings.
Quick Start
- Open Safety Inspections in the QHSE sidebar group.
- Click Add Inspection.
- Enter a Title, Location, Inspector name, and the Scheduled Date.
- The 10-item checklist is pre-populated — leave all items as N/A for now if you're just scheduling, or start marking Pass/Fail if the walk-through is happening immediately.
- Click Save. The inspection is created with status Scheduled.
- When ready, click the inspection's Complete action (or the eye icon to view/edit first), mark each checklist item Pass, Fail, or N/A, add findings notes on any failed items, then click Complete to lock in the score.

| Machinery | Guards, interlocks and emergency stops on machinery are in place and functional. |
| Ergonomics | Workstations are arranged to minimise strain and repetitive-motion risk. |
| Chemical Storage | Hazardous materials are stored correctly with SDS sheets accessible. |

Score Formula
Score = Passes ÷ (Passes + Fails) × 100
Items marked N/A are excluded from both the numerator and denominator — they don't count against or toward the score.
Once an inspection reaches Completed status, its checklist and score become read-only in the view modal — checklist buttons are disabled to preserve the final record.
Inspection Status Lifecycle
An inspection can also become Overdue if its scheduled date has passed without being completed.
| Status | Meaning |
|---|---|
scheduled | Planned but not yet started. Every new inspection starts here. |
in_progress | The walk-through is underway. |
completed | Finished — checklist locked, score computed, completed date recorded. |
overdue | Scheduled date has passed without completion. |
Table, Search & Filters
The table lists Inspection #, Title, Location, Inspector, Status, Scheduled Date, Completed Date, Score, and Findings. Search matches against inspection number, title, location, and inspector name. Status tabs (All / Scheduled / In Progress / Completed / Overdue) narrow the list further, each showing a live count.
Multi-Select and List Style
A checkbox column sits to the left of the Inspection # column. The header checkbox selects or clears every row currently in view; per-row checkboxes toggle individual inspections. Selecting one or more rows scopes the AI Assistant panel to just those inspections — with nothing selected, the assistant uses the current filtered view instead.
Checkbox shape and check-icon visibility follow the shared List Style settings (Settings → Appearance → Multi-Select Shape / Show Check Icon).
AI Assistant
A collapsible AI Assistant panel lives on the right edge of the screen. Click the sparkle tab to open it. Suggested prompts:
- Which inspections are overdue or coming up soon? — surfaces scheduling gaps needing attention.
- Which locations or inspectors have consistently low scores? — flags systemic compliance issues.
- Summarize the scheduled, in-progress, completed, and overdue inspections — a quick status breakdown.
- Are there recurring findings or failed checklist categories? — spots patterns across multiple inspections.
If one or more inspections are selected via the checkboxes, the assistant's context is limited to just those records; otherwise it analyses the currently filtered table view. Replies with useful analysis can be saved directly to My Reports with the "Save as Report" button.
