Products & Variants
Manage purchasing data for your product catalog — cost, suppliers, lead time, MOQ, and variants.
Overview
Products & Variants is the purchasing view of your product catalog. It lists every product from the shared warehouse catalog and lets you manage the purchasing-specific data for each one: purchase price, supplier, lead time, MOQ, tax, product type, route, and variants. The screen shows a master list on the left with a resizable detail panel that opens when you click a product.
Switch between List and Card view using the toggle in the filter bar. When the detail panel is open, less-essential list columns (SKU, category, lead time, MOQ) are hidden to make room.
Filters
The filter bar provides a search box (searches name, SKU, and supplier name), filter pills — All, Can Purchase, Can Sell, With Variants — each showing a live count, and a category dropdown populated from the categories present in your catalog.
Product Detail Panel
Clicking a product row opens its detail panel with five tabs:

Edits made in the detail panel are staged locally — a Save button appears in the panel header only once you have unsaved changes.
Supplier Lines
On the Purchase tab, click + Add Supplier to attach a vendor to the product (searches your active vendor directory). Each supplier line has its own editable price, lead time, and MOQ, independent of the product's main purchase price — useful for comparing multiple vendors for the same item before choosing which one to use on a Purchase Order.
Variants
A product can have multiple variants generated from one or more attributes:
- Open the product's Variants tab.
- Type an attribute name (e.g. "Size") and click Add Variant Attribute.
- Add values for that attribute (e.g. Small, Medium, Large).
- Repeat for additional attributes if needed.
- Click Generate Variants — TotalApp creates one variant per combination of all attribute values, with an auto-generated SKU (
BaseSKU-ATTR1-ATTR2) and the base purchase price.
Generating variants replaces the product's current variant list. Each variant row shows its name, SKU, attributes, and purchase price; the row also expands in the main product table to show its variants beneath the base product.
Editing Purchase Price, Lead Time & MOQ Inline
In List view, click directly on a product's Purchase Price, Lead Time, or MOQ value in the table to edit it inline — press Enter or click away to save, or Escape to cancel. The supplier can also be changed inline from the same row via a searchable vendor dropdown.
Adding a Product
Click Add Product in the header. The form appears as a modal or right-side panel depending on your Add Record Mode setting. Only the product name is required — SKU, category, price, quantity, min/max stock thresholds, and warehouse location can all be filled in or left at their defaults.
CSV Import
Click Import CSV in the header to bulk-add products from a spreadsheet. The importer expects columns name, sku, category, price, qty — download the sample file from the import dialog for the exact format — previews the parsed rows before committing, then adds each row to the catalog.
If the file itself contains the same SKU on more than one row, the last occurrence in the file wins before the rows are written.
Can Purchase / Can Sell Flags
Every product carries two independent flags, shown as toggleable badges on each product row: Can Purchase and Can Sell. Click either badge to flip it directly from the list or card view, or from the General tab of the detail panel.
Export
Click Export to Excel in the header to download the currently filtered product list as an Excel file, including purchase price, supplier, lead time, MOQ, stock, and the Can Purchase/Can Sell flags.
Multi-select & AI Assistant
In List view, each row has a selection checkbox, letting you pick a specific set of products to focus on. The checkbox shape and fill style (circle/square, with or without a checkmark icon) follow your List Style preference in Settings → Appearance, matching the multi-select tables used across TotalApp.
- Click the header checkbox to select or clear all currently filtered products
- A toolbar appears above the table showing how many products are selected, with a Clear Selection action
A floating AI Assistant tab on the right edge of the screen opens a chat panel scoped to your selection — name, SKU, category, supplier, purchase price, lead time, MOQ, stock quantity, minimum threshold, and Can Purchase/Can Sell flags for each product. If no products are selected, the assistant uses the currently filtered list instead. It can help you:
Stock Risk Review
Identify products at or below their minimum threshold that need reordering.
Supplier Review
Flag products missing a supplier, or concentrated with a single supplier.
Cost Review
Summarize purchase price and MOQ patterns, by category or supplier.
Lead Time Review
Flag products with unusually long lead times that risk stockouts.
Any assistant response can be saved as a report to My Reports for later reference, and the assistant respects your configured Writer Engine (Local CLI, Ollama, or API) from Settings → Agentic.
