Tag-Backed Category Trees

Product Categories in TotalApp work like Shopify automated collections: you define a category, assign one or more tags as its membership rule, and every product carrying those tags is automatically included. Categories are hierarchical — you can nest them to any depth — and they sync instantly with navigation menus, search filters, and analytics reports.

Rule-Based, Not Manual

You never drag products into categories manually. Instead, you set the tag rule once ("include products tagged 'organic' AND 'beverages'") and the category membership updates automatically as tags are applied or removed across all modules.

Creating a Category

  1. Name the category — Choose a customer-facing name (e.g. "Organic Beverages"). This becomes the URL slug and navigation label.
  2. Define tag rules — Set conditions: ANY of these tags, ALL of these tags, or NONE of these tags. Combine conditions with AND/OR logic.
  3. Set parent category — Optional. Nest under an existing category to build a hierarchy (e.g. "Beverages → Organic Beverages → Cold Press Juices").
  4. Preview membership — Before saving, see how many products currently match the rule and browse a sample of them.
  5. Publish — Choose whether this category is visible in the storefront, internal views, or both.

Where Categories Appear

Ecommerce Storefront

Categories become collection pages and navigation menu entries. Products appear and disappear automatically as tag rules are met.

Purchase Filters

When raising a purchase order, filter supplier product lines by category to quickly find items in the right group.

Warehouse Slotting

Assign storage zones by category — e.g. all "Refrigerated" category products automatically slot to cold storage locations.

Analytics

Revenue, margin, and inventory reports can be broken down by category tree, giving you Shopify-style category performance insight across all channels.

FAQ

Can a product belong to multiple categories?
Yes. Because categories are rule-based (not manual assignments), a product matching multiple rules appears in multiple categories simultaneously — just like Shopify collections.
How deep can the category tree go?
There is no enforced limit on nesting depth. For navigation performance, we recommend a maximum of 4 levels deep for storefront menus.
Do category changes sync to Shopify?
Category definitions live in TotalApp. If you are using the Shopify Integration, product tags are synced bidirectionally — which means TotalApp category rules that add or remove tags will indirectly update which Shopify collections a product belongs to.
