Upgrade & Downgrade

How to change your TotalApp plan — upgrading, downgrading, adjusting seat count, and what happens to your data.

Upgrading Your Plan

You can upgrade your plan at any time from Settings → Plans & Billing inside the app. Upgrades take effect immediately.

1. Open Settings
2. Plans & Billing
3. Choose new plan
4. Confirm upgrade

Instant Access

New features and higher limits are available immediately after the upgrade is confirmed — no restart required.

Pro-rata Billing

You are only charged the difference for the remaining days in the current billing cycle. The next full cycle is billed at the new plan rate.

Downgrading Your Plan

Downgrades take effect at the end of your current billing period. You continue to have access to your current plan's features until then.

Data Impact of Downgrading

When you downgrade, features or data that exceed the new plan's limits become read-only or hidden — they are not deleted. For example:

  • If you had 80 members on Standard (50-member limit) the excess members lose access but their data is retained.
  • Modules not included in the new plan (e.g. Warehouse on Basic) become inaccessible but data is preserved.
  • You can re-upgrade at any time to restore full access.

Adjusting Seat Count

You can add or remove seats from your plan without changing the plan tier itself. Seat changes are available from Settings → Plans & Billing → Manage Seats.

Cancellation

You can cancel your subscription at any time. After cancellation your workspace moves to the Starter (free) tier at the end of the current billing period. Data is retained for 30 days after downgrade to Starter, giving you time to export or re-subscribe.

Frequently Asked Questions

Which of my data is affected when I downgrade my plan?
None of your data is deleted. Module data outside the scope of your new plan becomes read-only. Full access returns as soon as you upgrade again.
When am I charged for an upgrade?
A pro-rated charge is calculated at the moment of upgrade and added to your invoice on the next billing date.
Can I get my data back after cancelling?
If you restart your subscription within 30 days of cancellation, you can access all of your data again. After 30 days, the data is permanently deleted.
How do I switch to the Enterprise Plan?
To switch to the Enterprise Plan, you need to contact our sales team. The standard upgrade flow does not apply to the Enterprise Plan.
