Email Marketing
Create, send, and track email campaigns with AI-assisted content generation.
Overview
Email Marketing in TotalApp is a complete campaign builder that combines an intuitive drag-and-drop editor, audience segmentation from Audience Builder, a delivery scheduler, and performance analytics — all in a single screen. Campaigns are linked to Campaign Manager so email metrics contribute to your overall campaign ROI.
The AI Content Assistant panel (powered by Claude) can generate subject line variants and full email body copy from a brief description, saving your team hours of writing time while keeping the final message within your brand voice.
Creating a Campaign
Click New Campaign to open the campaign setup form. Complete the five fields below before proceeding to the editor.
| Field | Description |
|---|---|
| Campaign Name | Required. Internal name for reporting. Not visible to recipients. |
| Subject Line | The email subject shown in recipient inboxes. Supports emoji. Use the AI Assistant to generate A/B variants. |
| Sender Name & Email | The "From" display name and address. Must match a verified sending domain in your account settings. |
| Audience Segment | Select a segment defined in Audience Builder, or choose "All Contacts" to send to your full list. |
| Send Time | Schedule a specific date and time, or send immediately. Time zone is taken from your account settings. |
Email Editor
The email editor uses a drag-and-drop block model. Each block is a self-contained section that you drag from the panel on the left onto the canvas in the centre. Blocks snap into place and can be reordered by dragging the handle on the left edge of each block.
Click any block on the canvas to open its properties panel on the right. Text blocks support basic inline formatting (bold, italic, link). Image blocks accept a URL or a file upload from your media library. Button blocks have configurable label, URL, background colour, and border radius.
Tip — Preview Before Sending
Click the Preview button in the editor toolbar to see how your email looks on desktop and mobile. The mobile preview is particularly important — over 60% of emails are opened on mobile devices. Check that text is readable and buttons are large enough to tap comfortably.
AI Content Assistant
Open the AI Assistant panel by clicking the AI Assistant button in the editor toolbar. Describe your campaign goal in plain language and the assistant will generate a ready-to-use subject line and email body in seconds.
Subject Line Generator
Ask for 3–5 subject line options for a given campaign goal. Copy the best one directly into the Subject Line field with one click.
Body Copy Writer
Provide a brief (product name, offer, tone of voice) and the assistant drafts a full email in the correct block structure, ready to paste into the editor.
Tone Refinement
Ask the assistant to rewrite existing copy in a different tone — more formal, more casual, more urgent — without changing the core message.
Analytics
After a campaign has been sent, open its Analytics tab to see delivery and engagement metrics broken down by day.
| Metric | Definition |
|---|---|
| Open Rate | Unique opens ÷ delivered emails. Industry benchmark varies by sector; 20–30% is typical for B2B. |
| Click Rate | Unique link clicks ÷ delivered emails. Measures content relevance and CTA effectiveness. |
| Unsubscribe Rate | Unsubscribes ÷ delivered emails. Rates above 0.5% suggest audience mismatch or send frequency issues. |
| Bounce Rate | Hard + soft bounces ÷ total send attempts. Hard bounces indicate invalid addresses and are auto-removed from future sends. |
| Conversion Rate | Recipients who completed the campaign goal action (purchase, form fill, etc.) ÷ delivered emails. Requires goal tracking to be configured in Campaign Manager. |
Audience Segments
Segments are defined in Audience Builder and appear in the Audience Segment dropdown when creating or editing a campaign. You can also create a quick segment directly from the Email Marketing screen by clicking New Segment in the dropdown — this opens a simplified segment builder with the most common filter types.
Available segment filters for email campaigns include:
- All contacts — your full list with no filtering.
- By tag — contacts tagged with specific labels (e.g. "VIP", "Trial User", "Webinar Attendee").
- By last activity — contacts who opened or clicked a previous campaign within the last N days.
- By purchase history — contacts linked to Ecommerce orders above a value threshold.
- By campaign engagement — contacts who interacted (or never interacted) with a specific past campaign.
