Content Calendar
Plan and visualise all your content across channels in a single calendar view.
Overview
The Content Calendar gives your marketing team a bird's-eye view of every piece of content — social posts, blog articles, email campaigns, and ad copy — in a single shared calendar. Instead of maintaining separate spreadsheets per channel, everything lives in one place with colour-coded content types and real-time status updates.
Content items created in the calendar can be linked directly to Social Scheduler posts and Email Marketing campaigns, so the calendar always reflects the true scheduled state rather than a separate planning document that drifts out of sync.
Content Types and Colour Coding
Each content type has a fixed colour that appears consistently across month grid, week list, and timeline strip views so you can scan the calendar at a glance without reading every item title.
Creating Content Items
Click any date in the calendar or click Add Content in the toolbar to open the content item form. Fill in the details below and click Save.

| Title | Required. The working title of the content piece. Shown as the calendar item label. |
| Type | Social Post, Blog Article, Email, or Ad. Determines the colour coding and which linked object types are available. |
| Channel | The platform or medium: Instagram, LinkedIn, Twitter/X, Facebook, TikTok, Website Blog, Newsletter, Google Ads, etc. |
| Assigned To | Optional. The team member responsible for creating or publishing this item. |
| Due Date | The deadline for completing the content, distinct from the publish date if an approval buffer is needed. |
| Publish Date | The scheduled go-live date. This is the date the item appears on the calendar. |
| Status | Current workflow status (see Status Workflow section below). |
| Notes | Free-text notes, brief, keywords, or links to assets. |
Calendar Views
Use the view switcher in the top-right of the Content Calendar to change how items are displayed. All three views share the same data and update in real time when an item is added, edited, or deleted.
Month Grid
Standard monthly calendar. Each day cell shows up to three items before collapsing into a "+N more" overflow chip. Click the chip to expand that day. Best for high-level planning sessions.
Week List
Seven-row list grouping items by day within the current week. Shows full item titles and status badges. Navigate between weeks with the arrow buttons. Best for day-to-day execution tracking.
Timeline Strip
Horizontal Gantt-style strip showing items as colour-coded blocks spanning their due-to-publish window. Scroll left and right to navigate months. Best for identifying content gaps and scheduling density at a glance.
Status Workflow
Each content item moves through five statuses. Update the status by clicking the status badge on any item card or in the item edit form.
- Idea — Placeholder. Topic captured, no content written yet. Appears on the calendar with a muted style.
- Draft — Content is being written. Assigned team member is actively working on it.
- Review — Content is ready for approval. The item is highlighted in the Week List view so approvers can find it quickly.
- Scheduled — Approved and queued for publishing. If linked to Social Scheduler or Email Marketing, the linked object is also in a scheduled state.
- Published — Content has gone live. The item is greyed out in the calendar and excluded from active task counts.
Integration with Other Modules
Content Calendar items can be linked to existing objects in other TotalApp modules. This keeps the calendar in sync with execution rather than being a separate planning layer.
Social Scheduler
Link a Social Post content item to a Social Scheduler post. When the post is published in Social Scheduler, the Content Calendar item automatically advances to Published status.
Email Marketing
Link an Email content item to an Email Marketing campaign. The publish date on the calendar item updates automatically when the email send date changes in Email Marketing.
Campaign Manager
All content items belonging to an active Campaign Manager campaign are tagged with the campaign name and can be filtered by campaign in the calendar toolbar.
Tip — Filter by Channel or Assignee
Use the filter bar above the calendar to narrow the view to a specific channel (e.g. only Instagram posts) or a specific team member (e.g. only items assigned to you). Filter combinations are remembered for your session so you can switch views without losing your filter settings.
AI Assistant
Open the built-in AI Assistant from the tab on the right edge of the screen to get help planning your publishing schedule. It has full context on every post — title, scheduled date/time, channels, status, and character count — so you can ask things like:
- "Are there any gaps or clustering issues in the current schedule?"
- "Is any channel overused or underused compared to the others?"
- "Which backlog posts should I prioritize scheduling next?"
- "Suggest content topics or cadence improvements based on what is already planned"
Any reply can be saved as a report with one click, so you can share the analysis or revisit it later from My Reports.
