Learn how to update, customise and optimise your TotalApp profile to get the most out of the platform.

Accessing Your Profile

To access your profile, click the user avatar or initials in the top-right corner of the application. From the dropdown menu, select Profile or navigate to Settings → Account.

Personal Information

Name & Surname

Enter your real name. This information is displayed to workspace members and appears in shared reports and documents.

Username

Choose a unique username. Other members use this when tagging you in comments, mentions and task assignments.

Profile Photo

Upload a photo in JPG, PNG or WebP format. Recommended minimum size is 400×400 pixels for best display quality.

Bio

Write a short introduction about yourself. The AI assistant uses your bio to provide more personalised and contextual recommendations.

Professional Information

Job Title

Specify your position or role within your organisation. Used to suggest relevant tools, templates and content types for your workflow.

Industry

Select your industry from the dropdown list. Helps personalise template suggestions, style recommendations and feature highlights.

Company / Organisation

Add your company name. It appears on your profile card and can be used for workspace branding and collaboration context.

Website & Social Links

Link your portfolio, personal website or social media profiles so collaborators can learn more about your work.

Creative Preferences

Content Types: Select image, video, text or audio to receive relevant tool suggestions from the AI assistant
Artistic Styles: Choose your preferred visual styles such as minimalist, photorealistic or illustrative
Platforms: Specify your target platforms (Instagram, YouTube, LinkedIn) for format-aware recommendations
Language Preference: Set your primary language for AI-generated content and the application interface

Who can see my profile bio and professional information?

Your name, username and profile photo are visible to other members of your workspace wherever collaboration happens — comments, mentions, shared reports and task assignments. Your bio, job title, industry and creative preferences are used internally by the AI Assistant to personalise suggestions and are not broadcast to other members as a public "about me" page.

Does changing my username break existing mentions or shared links?

No. Mentions and task assignments are tied to your underlying account ID, not your display username, so historical comments and assignments continue to resolve correctly. Only the displayed name changes going forward — collaborators will simply see your new username the next time they view a mention.

What image requirements apply to my profile photo?

Upload a JPG, PNG or WebP file with a recommended minimum size of 400×400 pixels. Smaller images may appear blurry in avatar circles across the app, and non-square images are automatically cropped to a circle, so a centred square photo gives the best result.

How exactly does my bio and industry selection affect AI recommendations?

The AI Assistant reads your bio, job title, industry and creative preferences (content types, artistic styles, target platforms) as context whenever it suggests templates, tools or generated content. For example, selecting "Video" as a preferred content type and "Instagram" as a platform will surface short-form, vertical video templates more prominently. Leaving these fields blank does not break anything — it simply means recommendations default to general-purpose suggestions instead of tailored ones.
