Fleet Manager
Your complete vehicle and driver registry — manage the fleet, assign drivers, track contracts, and monitor status.
Overview
Fleet Manager is the master catalog for your entire vehicle and driver roster. Every other Logistics screen — Dispatcher Console, Route Optimization, Shipment Tracker, Warehouse Link — reads vehicle and driver data from Fleet Manager. Setting up your fleet here is the first step before using any other Logistics feature.
Fleet Manager supports both the Workstation (dark glassmorphism) and Enterprise (light corporate) visual styles controlled by Settings → Appearance → Screen Style.
Vehicle Records
Each vehicle in the fleet catalog has the following fields:

| Plate Number | Unique registration plate. Used as the primary identifier across all Logistics screens. |
| Type | Vehicle category: Van, Truck, Maritime (vessel), or Aircraft. Determines the dispatch mode colour in Route Optimization. |
| Fuel Type | Diesel, Petrol, LPG, Electric, or Hybrid. Used in Maintenance & Fuel logs. |
| Capacity (kg) | Structural load capacity in kilograms. Used for guardrail checks in Dispatcher Console and Warehouse Link. |
| Status | Current operational status. See the Vehicle Statuses table below. |
| Driver Assignment | The driver currently associated with this vehicle. A vehicle can have one driver at a time. |
| Last Service Date | Date of the most recent maintenance event. Used to calculate overdue alerts in Maintenance & Fuel. |
Vehicle Statuses

| Reserved | Vehicle is allocated to a future scheduled job but not yet departed. | Cannot accept new Dispatcher assignments; visible in Route Optimization as pending. |
| Decommissioned | Vehicle has been retired from active service. | Hidden from all operational screens; visible only in Fleet Manager for record-keeping. |
Status Changes Propagate Immediately
Changing a vehicle's status in Fleet Manager takes effect instantly across all Logistics screens. A vehicle set to Maintenance is blocked from new Dispatcher jobs within the same session — no page refresh required.
Driver Management
Drivers are registered in Fleet Manager alongside vehicles. Each driver record includes:

| Driver Name | Full name. Displayed in Dispatcher Console, Shipment Tracker telemetry, and Route Optimization dispatch cards. |
| License Type | Commercial license class (e.g. B, C, CE, D). Informational — not used for automatic license-class matching against vehicle type. |
| Phone | Contact number for dispatcher communications. |
| Assigned Vehicle | The vehicle this driver is currently paired with. A driver without an assigned vehicle cannot be offered in the Dispatcher Console. |
| Status | Available, In Transit, or Off Duty. Updated automatically when a job is assigned or completed in Dispatcher Console. |
| Total km Driven | Cumulative distance recorded from completed deliveries. Informational — updated from Shipment Tracker milestone records. |
Adding Vehicles and Drivers
Use the Add Vehicle and Add Driver buttons in the Fleet Manager header to open the respective forms. Forms follow the standard Add Record Mode setting (modal or panel) configured in Settings → Appearance → Add Record Mode.
Required Fields — Vehicle
- Plate number (must be unique)
- Vehicle type (Van / Truck / Maritime / Aircraft)
Required Fields — Driver
- Driver name
- License type
All other fields are optional at creation time and can be filled in later by editing the record.
Assign Drivers Before Using Dispatcher
A driver must have a vehicle assigned in Fleet Manager before they appear in the Dispatcher Console Driver Dock. Assign vehicles to drivers here first, then open Dispatcher Console to begin matching jobs.
Fleet Overview Stats
The header section of Fleet Manager displays six summary statistics:
Total Vehicles
Count of all registered vehicles regardless of status, including Decommissioned.
Active
Vehicles in Active status — available for dispatch and visible on the Route Optimization map.
In Maintenance
Vehicles currently in the Maintenance status — temporarily unavailable for assignments.
Total Drivers
Count of all registered drivers regardless of status.
Available Drivers
Drivers with Available status whose assigned vehicle is in Active status.
Total km Driven
Combined cumulative distance across all drivers in the fleet.
Integration with Other Logistics Screens
- Dispatcher Console — reads available drivers and their vehicle capacity from Fleet Manager in real time. Guardrail checks reference the vehicle's
structuralCapacitystored here. - Route Optimization — reads all active fleet units to build connector routes. Vehicle type determines the dispatch mode colour on the map.
- Shipment Tracker — displays vehicle and driver details in the Live Vehicle Telemetry card, cross-referenced by
vehicleId. - Maintenance & Fuel — tracks service events and fuel logs per vehicle. Service records for "Full Service" or "Emergency Repair" automatically change the vehicle status to Maintenance until marked complete.
- Warehouse Link — binds vehicles to docks for loading. Only vehicles with Active or Reserved status can be bound to a dock.
Planned: Live GPS Tracking
Fleet Manager currently tracks status, capacity, and assignment — not live position. A real-time GPS map view (live location, speed, idle/parked state, route-deviation alerts, and historical trail playback) is on the roadmap but not yet implemented.
AI Assistant
Click the AI Assistant tab anchored to the right edge of the screen to open a chat panel with full context on the vehicles currently in view — plate, make/model, status, fuel type, mileage, assigned driver, department, next service date and mileage, insurance expiry, and contract type. It can triage service and insurance renewals, flag data-quality gaps (active vehicles with no driver, missing service dates), translate a plain-language filter into a concrete subset, and summarize the fleet on demand.

Save as Report & Add Knowledge
After the assistant replies, a Save as Report button stores the response in My Reports with an auto-generated title — no dialog needed. Use Add Knowledge in the input dock to attach documents from your knowledge library so the assistant grounds its answers in your own fleet policies and procedures.
Filters narrow the context
The assistant reads the vehicles currently shown, so applying a status, fuel, or search filter first focuses its answers on exactly that subset.
