AI-powered HR analytics — ask questions about your workforce in natural language.

Overview

HR Reports combines a live workforce dashboard with an AI assistant that can answer plain-English questions about your HR data. The dashboard shows summary statistics at a glance; the AI panel lets you drill into any question without writing SQL, building pivot tables, or exporting to Excel.

The dashboard and AI both draw from live data across all HR modules — Employees, Leave Management, Expense Management, and Overtime. There are no stale snapshots or scheduled refreshes. Ask a question and the answer reflects the current state of your data.

Live Data, Not Cached Snapshots

When you approve a leave request in Leave Management, the HR Reports AI immediately knows about it. There is no sync step, no nightly refresh, no export-then-import. The AI reads directly from the same data stores as the HR screens.

Getting Here

The HR sidebar's Reports item no longer opens this dashboard directly — it opens a lightweight, in-module hub listing the reports your team has already saved from HR screens' AI Assistants. Click Open Full Analytics in that hub to reach this dashboard for live charts, KPIs, and the free-form AI question panel.

Dashboard — Summary Statistics

The top section of HR Reports shows six key metrics at a glance:

Total Headcount

Count of all Active employees. Click to see the breakdown by department.

On Leave Today

Employees with an approved leave covering today's date. Updated in real time.

Pending Requests

Total leave and expense requests waiting for approval. A quick triage indicator for managers.

Expenses This Month

Total approved expense amount for the current calendar month in your base currency.

Overtime This Month

Total approved overtime hours for the current month across all employees.

KPI Health

Percentage of all active KPIs that are On Track. A quick pulse check on performance management.

AI Assistant

Click the AI Assistant button in the screen header (or the tab anchored to the right edge of the screen) to open the AI panel. The assistant can answer any question about your HR data — headcount, leave, expenses, overtime, or any combination.

Be Specific for Better Answers

The more context you give, the more useful the response. "Total travel expenses for Q2 2026 broken down by employee and department" will give you a table you can act on immediately. "Show me expenses" will give you a broad summary that may require follow-up questions.

Saving Reports

Once the AI returns a useful answer, save it as a named report with a single click:

  1. Ask your question in the AI assistant panel and wait for the response.
  2. Click the Save as Report button that appears below the AI response in the panel's bottom dock.
  3. The report is saved instantly. No title entry dialog appears — the title is auto-generated from your question plus the current month and year (e.g. "Top 5 employees by overtime hours this quarter - May 2026").
  4. A green confirmation badge replaces the Save button, showing the report title as a clickable link.
  5. Click the link to open the saved report in the Report Library viewer.

One-Click Save

The title is always derived from your prompt and the current date. If you want a different title, edit it after saving from the Report Library. This keeps the save flow as fast as possible during a live analysis session.

Report Library

All saved reports are listed in the Reports tab of the HR Reports screen. Each report row shows:

  • Report Title — auto-generated from your prompt and the save date.
  • Source — always "HR Assistant" for reports saved from this screen.
  • Created Date — when the report was saved.
  • Actions — View (open the full markdown report), Edit (change the title or content), Delete (remove the report permanently).

Clicking View opens the Report Viewer, which renders the markdown content with full formatting — headings, tables, bold text, bullet lists. Click Edit to make corrections or add annotations before sharing the report with colleagues.

Data Sources

The HR Reports AI has access to the following data in real time. No data needs to be exported or configured — the AI reads it directly:

Recruitment & KPI Data

The HR Reports AI currently focuses on the four core data sources above. Recruitment pipeline data (candidate counts, time-to-hire) and KPI performance data can be viewed on their respective screens but are not yet included in the AI context. They will be added in a future update.

Equipment Data Has Its Own Assistant

HR's equipment pool (laptops, phones, meal cards, access cards, company cars) is not part of the HR Reports AI's context. The Asset Manager screen has its own dedicated AI Assistant, scoped to warranty, stock, assignment, and spend questions about that equipment specifically.

Fullscreen Mode

Click the Fullscreen button (the expand icon in the AI panel header) to make the assistant panel cover the entire screen. Fullscreen mode is ideal for focused analysis sessions where you want to see the full width of AI-generated tables without the main dashboard in the background.

In fullscreen, the message list and input area are centred with a comfortable reading width of up to 768px. Click the Exit Fullscreen button (same position, now showing a collapse icon) to return to the split view.

Frequently Asked Questions

Does the AI assistant have access to Recruitment or KPI data?
Not yet. The HR Reports AI currently reads from four data sources: Employees, Leave Management, Expense Management, and Overtime. Recruitment pipeline metrics (candidate counts, time-to-hire) and Performance KPI data are visible on their own screens but are not included in the AI's context yet — support for those is planned in a future update.
How current is the data the AI answers with?
Always current — there is no caching or scheduled refresh. The AI reads directly from the same live data stores used by the Employees, Leave Management, Expense Management, and Overtime screens. If you approve a leave request and immediately ask the assistant about it, the answer reflects that approval.
Can I edit a saved report after it's created?
Yes. Every report row in the Report Library has an Edit action alongside View and Delete. Edit lets you change the auto-generated title or the markdown content itself — useful if you want to annotate the AI's answer before sharing it with colleagues or a department head.
Why doesn't a "Save as Report" dialog ask me for a title?
Saving is intentionally one click. The title is auto-generated from your question plus the current month and year (for example, "Top 5 employees by overtime hours this quarter - May 2026"), so you never have to interrupt a live analysis session to type a name. If you want a different title, rename it afterwards from the Report Library using the Edit action.
