Performance KPI
Set and track key performance indicators for every team member.
Overview
Performance KPI gives HR managers and team leads a structured way to define, monitor, and update measurable goals for each employee. KPIs are displayed as cards — one card per goal — with a colour-coded status that makes it immediately obvious who is on track and who needs attention.
Unlike static annual review spreadsheets, KPIs in TotalApp are living records. Progress can be updated any time, a history of updates is kept, and the team dashboard aggregates health across the entire organisation.
What Makes a Good KPI?
KPIs should be Specific, Measurable, Achievable, Relevant, and Time-bound (SMART). "Improve customer satisfaction" is not a KPI. "Achieve a CSAT score of 4.5 or above for Q3 2026" is. Use the Target Value and Measurement Unit fields to make goals unambiguous.
KPI Status — At a Glance
Every KPI card displays a colour-coded status badge that updates automatically based on current value versus target and due date proximity:

| On Track | Green | Progress is sufficient to meet the target by the due date |
| At Risk | Amber | Behind pace but still achievable; intervention may be needed |
| Behind | Red | Significantly behind; target will likely be missed without action |
| Completed | Blue | Target has been met or exceeded; KPI closed |
You can also set the status manually — for example, marking a KPI as At Risk even if the raw numbers look fine, because you know a blocker is coming. Manual status always overrides the auto-calculated status.
Creating a KPI
- Click Add KPI in the screen header.
- Enter a clear KPI Name — this is required and should state the goal concisely (e.g. "Close 20 new enterprise accounts").
- Select the Category (see categories below).
- Set the Target Value — the number you want to reach (e.g.
20). - Set the Current Value — the starting point, typically
0for new goals. - Choose the Measurement Unit (Accounts, %, Hours, Score, Units, etc.).
- Set the Due Date — when the goal should be achieved.
- Select the Employee the KPI is assigned to.
- Click Save. The KPI card appears on the board.
KPI Categories
Sales Target
Revenue goals, deal counts, pipeline targets. Best for Sales and Business Development roles.
Productivity
Output volume — tickets closed, features shipped, tasks completed. Works across Engineering, Support, and Operations.
Quality
Error rates, CSAT scores, defect counts, code review pass rates. Suitable for any role where accuracy matters.
Attendance
Punctuality, absence rates, on-time delivery. Useful for roles with scheduling requirements or SLA commitments.
Learning & Development
Certifications completed, courses finished, training hours. Drives personal growth and skill development goals.
Progress Updates
Click any KPI card to open the detail view. From here you can:
- Update the Current Value to reflect the latest progress (e.g. change from
8to14as deals close). - Add a Progress Note — a timestamped text entry that records context (e.g. "Closed Acme Corp deal worth $40k, 2 more in final stages").
- Change the Status manually if the auto-calculated status doesn't reflect the real situation.
- Update the Due Date if the goal timeline has been officially revised.
All progress notes are stored with a timestamp and displayed chronologically in the KPI detail view, forming a history log of how the goal evolved over time.
Weekly Update Habit
The most valuable use of KPIs is a brief weekly update cadence. Spend 5 minutes each Friday updating Current Value and adding a one-line progress note. Over a quarter, this creates a rich, objective record that makes performance reviews far easier and more data-driven.
Team Dashboard
The Team Dashboard view (toggled via the view selector in the screen header) shows an aggregate health summary across all employees and departments:
- Overall health bar — proportion of all KPIs by status (On Track / At Risk / Behind / Completed).
- Department breakdown — filter by department to see how Engineering compares to Sales, for example.
- Employees needing attention — employees with one or more KPIs in Behind status are surfaced at the top of the list.
- Due soon — KPIs with due dates within the next 14 days, regardless of status.
