Manage your workforce competency map with a skill matrix, proficiency assessments, and training tracking.

Skill Matrix

The Employee Skills screen maintains a skill and competency record for every employee. Three view modes (List, Grid, Matrix) let you explore the data from different angles.

Skills vs. Capabilities — Two Different Systems

Skills here are an open, free-text ability bank (e.g. "Python", "Public Speaking") used purely for competency tracking and training gap analysis. They are a separate concept from Capabilities — a fixed 15-value list (Technician, Operator, Approver, etc.) set on the Work & Position tab of an employee's Personnel profile, which system dropdowns across the app (Preventive Maintenance, Dispatch Board, Approval Workflow, and more) filter on to decide who can be assigned. Adding a skill named "Technician" here has no effect on those assignment dropdowns — only the Capabilities field does.

Matrix View

Employees appear as rows, skills as columns. The color-coded cell at each intersection shows the proficiency level at a glance.

Competency Card

An individual skill profile card for each employee. Contribution score, certifications, and development areas are shown together.

Training Tracking

Record planned and completed training sessions. When training is completed, the related skill updates automatically.

Gap Analysis

Compare required skills for a role or project with current competencies. Identify gaps and plan targeted training.

Adding a Skill

  1. Go to an employee profile or select an employee in the Skills screen.
  2. Click + Add Skill.
  3. Choose the skill name, category (Technical / Managerial / Personal Development), and proficiency level (1–5).
  4. Optionally add the last assessment date and certification details.
  5. Click Save. The skill appears in the matrix view immediately.

Tip

Keep skill names consistent (e.g. always write “Python”, not “python” or “Python 3”). Inconsistent names create separate columns in the matrix view.

Filtering and Search

Use the filter bar at the top of the matrix to narrow your view:

  • Department filter — show only employees from a specific department
  • Skill category filter — display a single category (e.g. Technical only)
  • Search box — type an employee name or skill name to highlight matching rows or columns
  • Gap filter — show only cells where the employee is below the required proficiency level

Frequently Asked Questions

Who can edit skill proficiency levels?
TenantAdmin and HR managers can edit any employee's skills. Regular employees can view the matrix but cannot edit proficiency levels by default.
Can I import skills from a spreadsheet?
Yes — use the Import button in the toolbar to upload a CSV file. The file must have columns: Employee Name, Skill Name, Category, and Proficiency Level.
Is skill data linked to other HR screens?
Yes. Skill profiles are linked to Employees — clicking an employee in the skill matrix opens their HR profile. Gap data can also be referenced in Performance KPI targets.
What happens if I enter a duplicate skill name with different capitalization?
The matrix treats differently-capitalized or spelled variants (e.g. “python” vs “Python”) as separate columns, which fragments the data. Always reuse the exact existing skill name from the autocomplete suggestions when adding a skill to avoid duplicate columns.
