Shift & Workforce Operations
How TotalApp keeps every shift swap, casual labor hour and department labor cost aligned with the hotel's own labor law, union rules and corporate budget.
How this group of screens works
The Shift & Workforce Operations group brings together the three screens that keep a hotel's or restaurant's workforce running on schedule and on budget: Shift Roster & Swap Matrix, Overtime & Casual Labor Tracker, and Labor Cost & Productivity Optimization.
All three follow the same pattern as the rest of the Hospitality add-on: a background smart-search check runs against the relevant policy documents — labor law, union agreements, agency contracts, corporate wage bands — before an AI layer reasons about the specific situation in front of the team. The background check narrows down which rules actually apply; the AI layer then turns that narrower context into a recommendation.
At a glance
- Shift Roster & Swap Matrix — background labor law & union rule check, plus AI fairness and rest-period synthesis
- Overtime & Casual Labor Tracker — background agency contract check, plus AI billing and overtime synthesis
- Labor Cost & Productivity Optimization — background corporate budget & wage policy check, plus AI efficiency and rebalancing synthesis
1. Shift Roster & Swap Matrix
Smart Shift & Swap Management Infrastructure
Weekly shift schedules and peer-to-peer shift swap requests for hotel and restaurant staff are checked, in the background, against labor law, union agreements, mandatory rest periods (the minimum 11-hour rule between shifts) and consecutive night-shift limits. The system automatically flags shift swaps and rest-period gaps that would put the hotel out of compliance before a manager ever approves them.
Why this screen runs a background labor law & union rule check
A shift swap that looks convenient on paper can quietly violate a mandatory rest gap or a union constraint on consecutive night shifts. A background scan against the hotel's own labor law and union agreement text catches that risk before the swap is approved, not after a labor complaint is filed.
2. Overtime & Casual Labor Tracker
Seasonal/Casual Staff & Overtime Audit Infrastructure
The overtime hours worked by regular staff, and the daily casual agency staff called in during high-occupancy periods and banquet/event rushes, are checked, in the background, against the agency's own supply contract, daily timesheet limits and collective bargaining overtime multipliers. The system instantly flags agency billing discrepancies, unapproved overtime buildup and payout-limit breaches.
Why this screen runs a background agency contract check
Casual agency staff and overtime hours both carry a real payout tied to a written agreement — the agency's own SLA, or the collective bargaining overtime multiplier. A background scan against that agreement text surfaces a billing mismatch or a runaway overtime pattern while it's still cheap to fix, instead of at month-end reconciliation.
3. Labor Cost & Productivity Optimization
Smart Workforce Cost & Productivity Management
The ratio of labor expense to the hotel's gross operating profit (GOP), room occupancy metrics (RevPAR/POR) and banquet revenue is compared, in the background, against the hotel's own corporate budget targets and collective bargaining wage scales. The system recommends cross-department staff reallocation and shift-rebalancing moves that bring labor cost back under budget without a blanket headcount cut.
Why this screen runs a background corporate budget & wage policy check
A labor cost ratio only means something next to a target — the hotel's own corporate ceiling and the wage bands its union contracts allow. A background scan against that budget and wage policy text tells the team whether a department is genuinely overbudget or simply understaffed, and grounds the recommended rebalance in numbers the finance team already signed off on.
