Expenses & Budget

Departmental expense tracking and budget allocation in one consolidated view.

Overview

Expenses & Budget bridges HR and Finance by combining employee expense claims (from HR Expense Management) with departmental budget limits set by Finance. The result is a single screen where you can see exactly how much each department is spending relative to its allowance — without any manual data entry or exports.

Zero Double Entry

Every approved expense claim in HR Expense Management automatically appears here. There is no "sync" step, no export-import, and no duplicate data entry. Approve in HR and the Finance view updates instantly.

Department Budgets

Set spending limits for each department to give managers guardrails without requiring approval for every small purchase:

  1. Click Set Budget next to any department row.
  2. Enter a Monthly Budget and/or an Annual Budget limit.
  3. Click Save. The department row immediately shows a usage bar reflecting current spend against the new limit.

Usage Bar Colour Coding

Under 80% — within budgete.g. 65%
80–100% — approaching limite.g. 87%
Over 100% — budget exceedede.g. 112%

The bar extends to 100% of its container and shows the percentage label numerically. Over-budget departments show the bar in red with the percentage above 100% displayed outside the bar.

Expense Breakdown

The main table shows expenses sliced in two ways simultaneously:

By Department

Each department row shows: total approved expenses for the period, budget limit, usage percentage, and a mini usage bar. Click a department to expand the row and see the individual expense claims that make up the total.

By Category

The right panel (or bottom section on mobile) shows a category breakdown for the selected period: Travel, Accommodation, Meals, Office Supplies, Equipment, Software, Other. This helps identify which spending categories are driving costs — useful when trying to find quick wins to bring a department back under budget.

Period Selector

Use the month/quarter toggle and the date picker to scope the view to the period you care about. Options: Current Month, Previous Month, Current Quarter, Previous Quarter, Year to Date, Full Year. The budget limit scales proportionally when you switch from annual to monthly view.

Alerts

Two alert levels notify relevant people when spending approaches or exceeds limits:

Visual alerts are shown in real time whenever the screen is open. Email notifications (if configured in Settings → Finance → Alerts) send a one-time email to the department manager and Finance team when each threshold is crossed for the first time in a period.

Use Warnings Proactively

The 80% warning gives you time to act before the budget is blown. When Engineering reaches 80% of its travel budget in month 3 of 4, there is still time to ask the team to defer non-urgent travel until the next quarter or to request a budget increase before it becomes an overspend.

Understanding the data flow helps you use this screen effectively:

Only approved claims count against departmental budgets. This means a manager reviewing a backlog of pending claims can see their department's "committed" spend, but the budget bar won't move until those claims are approved.

Export

Click Export to download the expense-vs-budget comparison for the selected period as Excel. The file includes: department name, budget limit, total approved spend, usage percentage, and a breakdown by category for each department. This format is commonly used for management accounts, board packs, and quarterly finance reviews.

Combining with Budget & Forecasting Export

For a complete picture, export both this screen (departmental spend) and Budget & Forecasting (company-wide budget vs actuals). Together they give you the category-level drill-down (here) alongside the strategic full-year view (Budget & Forecasting).

AI Assistant

Expenses & Budget includes an embedded AI Assistant panel that reads the currently loaded department budgets (allocated, spent, remaining) and expense claims (employee, department, category, amount, status) moving through the draft → submitted → approved → posted workflow, and answers questions directly on the screen.

Budget Health

Ask which departments are approaching or exceeding their allocation, with quantified utilization percentages.

Overrun Risk

Flag pending claims that would push a department's spend past its remaining budget before you approve them.

Claims Triage

Get a summary of claims by status, and identify stale drafts or claims that have been waiting too long for approval.

Save as Report

Any AI response can be saved as a named report to My Reports with one click — the title is generated automatically from your prompt and the current month.

Open the panel from the vertical AI Assistant tab on the right edge of the screen. It uses the Writer Engine configured in Settings → General → Writer Engine (API, Local CLI, or in-browser engines) — no per-screen configuration is required.

Frequently Asked Questions

Why is an approved expense claim not showing up in the department's usage bar?
The usage bar only reflects the period currently selected in the Period Selector. If the claim's expense date falls outside the selected month, quarter, or year, it won't be counted in that view even though it is approved. Switch to the period that contains the claim's date, or select Year to Date, to confirm it has flowed through correctly.
Do pending or rejected expense claims count against a department's budget?
No. Only claims with Approved status in HR Expense Management count against the departmental budget. Pending claims represent "committed" spend that a manager can review, but they will not move the usage bar until they are approved. Rejected claims are never counted.
What happens when a department passes 100% of its budget?
The usage bar turns red, the department name is displayed in red in the table, and an alert icon appears on the row (the "Exceeded" alert level). If email notifications are enabled in Settings → Finance → Alerts, a one-time email is sent to the department manager and the Finance team the first time the 100% threshold is crossed in that period.
How do I set or change a department's monthly vs. annual budget?
Click Set Budget next to the department row, then enter a Monthly Budget and/or an Annual Budget limit and click Save. If you only set one of the two, the screen scales it proportionally when you switch the Period Selector between monthly and annual views, so the usage bar stays accurate regardless of which period you're viewing.
