TotalApp Docs

Ecommerce

Connect your Shopify store, analyse sales data with AI, and generate detailed reports — all from TotalApp.

What's Included

TotalApp's Ecommerce module bridges your online store with TotalApp's analytics and reporting layer. It currently supports Shopify as the primary integration platform, with more platforms planned. Once connected, your live Shopify data — products, orders, customers — flows into TotalApp where you can interrogate it with AI, generate branded reports, and link findings to your project management workflow.

Shopify Integration

Connect via Shopify Admin API credentials. Sync products, orders, and customers. Live data pulled on demand — no ETL pipeline required.

Ecommerce Reports

AI-powered analytics over your connected store data. Generate revenue summaries, top-product rankings, and customer cohort snapshots. Save, edit, and export reports.

How It Fits Into TotalApp

Ecommerce is its own App Mode in TotalApp. You can activate it from Settings → App Modes or toggle it on in the Manage Screens modal. Once active, the two Ecommerce screens appear in your sidebar.

Cross-Module Links

Ecommerce Reports can be linked to any project in the Project Management module. This is useful when a sprint or project milestone depends on hitting an ecommerce KPI — you can attach the relevant report directly to the project for team visibility.

The Shopify Integration screen displays helpful guidance even before you connect. You can explore the Report screen structure with the sample/demo data included in TotalApp while you set up your credentials.

Screens at a Glance

Shopify Integration

The connection management screen. Enter and validate your API credentials, trigger a data sync, and see the sync status (last synced timestamp, record counts for products, orders, customers). The built-in AI Assistant panel lets you ask questions about your store data directly — "What's my best-selling product this month?" — without navigating to the Reports screen.

Ecommerce Reports

A report library and AI-powered generator. The left panel lists saved reports; the right panel shows the active report content. Use the AI Assistant to generate a new report from a natural-language prompt, then save it with a single click. Reports are stored server-side and persist across sessions. Each report can be edited, exported as Markdown, and linked to a project.

AI Assistant

Both Ecommerce screens include an embedded AI Assistant panel. The assistant has access to your synced Shopify data as context — it can answer questions about your store without you having to copy-paste data into a chat interface.

Example questions you can ask:

  • "What were my top 5 products by revenue last month?"
  • "How many new customers did we acquire this quarter?"
  • "Which products have the most inventory but lowest sales?"
  • "Give me a summary of orders from the past 30 days."
  • "What is the average order value?"

Responses are formatted as structured markdown — headings, tables, and lists — and can be saved directly as a report from the same panel.

AI Context Depth

The AI is provided with a snapshot of your synced data at the time of the conversation. Very large stores (thousands of products or orders) may have their context summarised. For exact figures on large datasets, use the Ecommerce Reports aggregation views rather than freeform AI questions.

Frequently Asked Questions

Which Shopify plan do I need to use the integration?
Any Shopify plan that provides Admin API access works — this includes Basic, Shopify, and Advanced plans. Shopify Starter does not include Admin API access. You will need to create a Custom App in your Shopify admin to generate the required API key and secret.
How often is data synced?
Data is synced on demand — click the Sync Data button in the Shopify Integration screen whenever you want the latest data. There is no automatic background sync. For real-time data requirements, trigger a sync before opening a report or starting an AI conversation.
Are my Shopify credentials stored securely?
Credentials are stored in your TotalApp server environment and are never exposed to the client browser after initial entry. They are used only to make server-side API calls to Shopify. You can disconnect and remove credentials at any time from the Shopify Integration settings panel.
Can I connect more than one Shopify store?
The current version supports one active Shopify connection at a time. Multi-store support is on the roadmap. If you need to switch stores, update your credentials in the Integration screen and re-sync.
