File Sharing

Share files with teammates directly inside chats and channels, with in-browser preview for images.

Overview

File Sharing in TotalApp lets you attach and send files inside chat messages and channel posts. Files are stored on the TotalApp server and accessible to all members with channel access. Every upload creates a persistent, signed link — image attachments preview inline, everything else downloads with one click.

Quick Start

In any Chat or Channel, click the paperclip icon (📎) next to the message input. Select a file from your device. The file is uploaded and a preview card appears inline in the message thread. Teammates can click the card to open a full preview or download the file.

Supported File Types

Chat accepts images (PNG, JPG, GIF, WEBP), PDF, TXT, ZIP, RAR, 7Z, and Office documents (DOCX, XLSX, PPTX). A single file-size limit and a per-user storage quota apply across all file types — both are configured centrally by your workspace admin (default: 2 MB per file, 50 MB per user) rather than varying by category.

Features

Access Control

File access inherits from the channel or conversation it was shared in. Public channels: all members. Private channels: invited members only. Direct messages: only the two participants.

Per-User Storage Quota

Each user has a running storage quota across all their chat uploads. Once the quota is reached, new uploads are rejected until older files are removed or the admin raises the limit.

Frequently Asked Questions

Where are uploaded files stored?
Files are stored on TotalApp's servers, tied to your tenant. They are not stored locally or in any third-party cloud storage.
Can I delete a file I uploaded?
Yes. Open the file's context menu (⋯ icon) in the message thread and select Delete. This removes the file from the server and the inline preview is replaced with a "file removed" notice.
Are files scanned for viruses?
TotalApp performs basic MIME-type validation on upload. For enterprise security scanning, configure your organisation's data-loss prevention rules in Settings → Security.
